🔹 Position Overview

The Medical Receptionist (Care Facilitator) is often a patient’s first contact with ChenMed. This role involves serving as a patient advocate, delivering top-notch customer service, and supporting clinic operations. Fluency in both English and Vietnamese—written and verbal—is required.

🎯 Key Responsibilities

  • Patient Interactions: Greet, check-in, check-out, record information, and schedule appointments. Ensure lobby organization and cleanliness.
  • Schedule Management: Serve as gatekeeper for PCP and Specialist schedules, including ensuring top 40 patients are scheduled every 13 days.
  • System Utilization: Use computers to add new patient info, print forms, schedule appointments, respond to emails, and generate patient packets. Maintain accurate contact details.
  • Patient Engagement: Conduct “love” calls, send birthday and greeting cards for special occasions.
  • Communication: Answer phones, take accurate messages, and relay information about ChenMed’s clinical team effectively.
  • Insurance & Appointments: Verify insurance, collect copays, and assist with follow-up and referral scheduling.
  • Patient Comfort & Support: Escort patients to exam rooms, ensuring their well-being and comfort.
  • Quality & Reporting: Act as HEDIS champion, monitor hospitalizations, and report on various metrics such as HITS census and ENS Ping.
  • Customer Service & Feedback: Present service surveys at checkout and escalate issues when necessary.
  • Team Participation: Contribute to daily and weekly huddles with patient updates.
  • Transportation Coordination: Manage driver lists, medication and grocery deliveries, and coordinate Uber/Lyft rides for patients.

Additional Responsibilities

  • Maintain patient confidentiality and secure medical records.
  • Review patient information for accuracy and completeness.
  • Handle correspondence via mail, email, or fax.
  • Perform other duties as assigned or modified at the manager’s discretion.

🧠 Knowledge, Skills & Abilities

  • Exceptional customer service passion and skills.
  • Working knowledge of medical insurance and EMR systems.
  • Familiarity with ChenMed’s policies, services, and standards.
  • Proficiency with phones, computers, and basic IT systems.
  • Effective communication with patients, staff, and others.
  • Attention to detail for data accuracy.
  • Outstanding verbal and written communication skills.
  • Strong listening skills and a positive, professional attitude.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Willingness to travel up to 10% regionally.
  • Fluency in spoken and written English and Vietnamese.

🎓 Education & Experience Requirements

  • High school diploma or equivalent required.
  • Graduation from a recognized Medical Assistant program preferred.
  • Minimum of 1 year experience in a medical clinic or similar setting.
  • BLS certification for Healthcare Providers is preferred.

💰 Compensation & Benefits

The hourly pay ranges from $14.30 to $20.42. Final salary depends on experience, education, location, and other factors. This role may be eligible for bonuses or commissions.
