Position Overview

The Medical Receptionist (Care Facilitator) is often the first contact a patient has with our ChenMed family. This role acts as a patient advocate, providing exceptional customer service while managing administrative tasks. Success in this position requires a strong commitment to service excellence and kindness.

Fluency in both written and verbal English and Vietnamese is a must for this role.

Key Responsibilities 🚀

  • Patient Interaction: Greeting, checking-in, checking-out, scheduling appointments, and conducting lobby checks for organization and cleanliness.
  • Schedule Management: Serving as gatekeeper for PCP and Specialist schedules, ensuring top patients are scheduled every 13 days.
  • Administrative Support: Using computer systems to update patient information, print forms, respond to emails, and prepare New Patient packets.
  • Patient Engagement: Making "love" calls, mailing birthday and greeting cards to celebrate special events.
  • Communication & Insurance: Answering phones, taking accurate messages, verifying insurance, and collecting copays.
  • Patient Escort & Comfort: Escorting patients to exam rooms and ensuring their comfort and well-being.
  • Quality & Reporting: Acting as HEDIS champion, monitoring hospitalizations, and reporting on various metrics.
  • Patient Feedback: Presenting customer service surveys during check-out and escalating issues for quick resolution.
  • Team Participation: Attending daily and weekly huddles, sharing patient updates.
  • Additional Tasks: Managing transportation logistics, medication deliveries, and coordinating Uber/Lyft rides for patients.

Other Responsibilities

  • Maintain confidentiality of patient information and medical records.
  • Review and verify the completeness and accuracy of patient data and appointments.
  • Transmit correspondence via mail, email, or fax.
  • Perform other duties as assigned or modified by management.

Knowledge, Skills & Abilities

  • Exceptional customer service skills with a passion for helping others ❤️
  • Knowledge of medical insurance and electronic medical record (EMR) systems.
  • Familiarity with ChenMed products, services, standards, policies, and procedures.
  • Proficiency in operating phones, computers, and software applications.
  • Professional and courteous communication with staff, patients, and stakeholders.
  • Strong attention to detail and accuracy in reports and data.
  • Excellent verbal and written communication skills.
  • Active listening skills and a positive attitude.
  • Proficiency in Microsoft Office Suite: Excel, Word, Outlook.
  • Willingness to travel regionally up to 10%.
  • Fluency in both English and Vietnamese (spoken and written).

Education & Experience Requirements

  • High school diploma or equivalent required 🎓
  • Graduation from a recognized Medical Assistant program preferred.
  • At least 1 year of experience in a medical clinic or similar environment required.
  • BLS certification for Healthcare Providers preferred.

Compensation & Benefits

The pay range for this role is $14.30 – $20.42 per hour. Final compensation depends on experience, education, location, and other factors. The position may be eligible for bonuses or commissions.
