About the Role 🌟
The Medical Receptionist (Care Facilitator) is often a patient's first touchpoint with ChenMed. You'll serve as a patient advocate, delivering top-tier customer service by managing check-ins, check-outs, appointments, and administrative support. Your dedication to superb service will help foster trusting relationships and ensure a comfortable experience for every patient.
Key Responsibilities 📝
- Patient Interaction: Greet patients, record information, manage check-ins/check-outs, and schedule appointments. Maintain lobby organization and cleanliness.
- Schedule Management: Act as gatekeeper for PCP and Specialist schedules, ensuring Top 40 patients are seen every 13 days.
- Administrative Support: Use computer systems to add patient info, print forms, respond to emails, and prepare New Patient packets. Ensure all contact information is accurate.
- Patient Engagement: Conduct "love" calls, send birthday and greeting cards for special occasions.
- Communication: Answer phone calls, take detailed messages, and relay information clearly about ChenMed staff.
- Insurance & Referrals: Verify insurance, collect copays, and assist with follow-up and specialist referrals.
- Patient Escorts & Comfort: Escort patients to exam rooms and support their comfort and well-being.
- Health Metrics & Surveys: Act as HEDIS champion, monitor hospitalization reports, and collect customer service feedback during checkout.
- Team Participation: Join daily and weekly huddles to share patient updates.
- Transportation Coordination: Manage driver and patient lists, medication and grocery deliveries, and coordinate Uber/Lyft rides.
Additional Duties 🚀
- Maintain confidentiality of patient information and records.
- Review and verify patient data for accuracy and completeness.
- Transmit correspondence via mail, email, or fax.
- Perform other duties as assigned or modified by management.
Qualifications & Skills 🎯
- Exceptional customer service skills with a passion for helping others
- Knowledge of medical insurance and electronic medical records (EMR systems)
- Understanding of ChenMed's services, policies, and procedures
- Proficient in operating phones, computers, and basic IT systems
- Professional and courteous communication with staff and patients
- Attention to detail for data accuracy
- Strong verbal and written communication skills
- Excellent listening skills and a positive attitude
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Willingness to travel regionally up to 10%
- Fluency in both English and Vietnamese (spoken and written)
Education & Experience 📚
- High school diploma or equivalent required
- Graduation from an accredited Medical Assistant program preferred
- At least 1 year of experience in a medical clinic or similar environment required
- BLS certification for Healthcare Providers preferred
Compensation & Benefits 💰
Hourly pay ranges from $14.30 to $20.42. Final compensation depends on experience, education, location, and other factors. The position may also be eligible for bonuses or commissions.
