💬 Position Overview: Medical Receptionist (Care Facilitator)

The Care Facilitator is one of the first contacts a patient has with our ChenMed family. In this role, you will serve as a patient advocate delivering exceptional customer service, checking patients in and out, and providing administrative support. A successful candidate is committed to building trust, demonstrating kindness, and delivering outstanding service.

🏥 Essential Job Duties & Responsibilities

  • Patient Interaction: Greet patients, record information, check-in/out, schedule appointments, and conduct lobby checks for organization and cleanliness.
  • Schedule Management: Serve as the gatekeeper for PCP and Specialist schedules, ensuring Top 40 patients are scheduled every 13 days.
  • Data Entry & Communication: Use computer systems to update patient info, print forms, respond to emails, and generate New Patient packets.
  • Patient Engagement: Make “love” calls, send birthday and greeting cards to celebrate special events.
  • Telephone & Message Handling: Answer calls, take accurate messages, and direct them appropriately.
  • Patient Support: Verify insurance, collect copays, and assist with scheduling follow-ups and referrals.
  • Patient Comfort: Escort patients to exam rooms and ensure their well-being.
  • Quality & Reporting: Act as HEDIS champion, monitor hospitalizations, and report metrics like HITS census and ENS Ping.
  • Customer Feedback: Present satisfaction surveys at checkout and escalate issues when necessary.
  • Team Collaboration: Participate in daily and weekly huddles, sharing patient updates and insights.
  • Transportation Coordination: Manage drivers, deliveries, and coordinate Uber/Lyft rides for patients.

Other Responsibilities:

  • Maintain confidentiality of patient information and records.
  • Review and verify patient details for accuracy and completeness.
  • Transmit correspondence via mail, email, or fax.
  • Perform additional duties as assigned by management.

🧠 Knowledge, Skills & Abilities

  • Exceptional customer service skills with a passion for helping others
  • Working knowledge of medical insurance and EMR systems
  • Understanding of ChenMed’s products, services, policies, and procedures
  • Proficiency in operating phones, computers, and basic IT systems
  • Excellent communication and listening skills
  • Attention to detail and accuracy in data reporting
  • Professional, positive attitude, and ability to work collaboratively
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook)
  • Fluency in English and Vietnamese, both written and verbal
  • Willingness to travel regionally up to 10%

🎓 Education & Experience Requirements

  • High school diploma or equivalent required
  • Graduate of a recognized Medical Assistant program preferred
  • Minimum of 1 year experience in a medical clinic or similar setting required
  • BLS certification for Healthcare Providers preferred

💰 Pay Range

$14.30 – $20.42 per hour

The compensation depends on experience, education, location, and other relevant factors. The position may also include bonuses or commissions.
