Note: This position requires bilingual fluency in English and Vietnamese, both written and verbal.
Position: Medical Receptionist (Care Facilitator)
As one of the first touchpoints for patients at ChenMed, the Care Facilitator serves as a patient advocate, delivering exceptional customer service, and building trusting relationships. This role involves greeting, check-in/out, administrative support, and ensuring a positive experience for everyone who walks through our doors.
Key Responsibilities
- Patient Interaction: Greet patients, check-in/out, schedule appointments, and record information. Maintain lobby organization and cleanliness.
- Schedule Management: Serve as gatekeeper for PCP and Specialist schedules, ensuring top 40 patients are scheduled every 13 days.
- Data Entry & Communication: Use computer systems to add patient info, print forms, respond to emails, and prepare new patient packets. Accurately document contact details.
- Patient Engagement: Make "love" calls, mail birthday/greeting cards, and celebrate special events.
- Phone & Messaging: Answer calls, take detailed messages, and direct them appropriately.
- Insurance & Scheduling: Verify insurance, collect copays, and assist with follow-ups and referrals.
- Patient Comfort: Escort patients to exam rooms and ensure their wellbeing.
- HEDIS & Reporting: Manage HEDIS requirements, report hospitalizations, and provide visibility into patient care metrics.
- Customer Service & Feedback: Present satisfaction surveys and escalate issues when necessary.
- Team Participation: Participate in daily huddles and provide updates on patient status.
- Transportation Coordination: Manage Uber/Lyft rides, medication deliveries, and grocery runs, including driver management and scheduling.
Additional Responsibilities
- Maintain confidentiality of patient information and records.
- Review and verify patient and appointment details for accuracy.
- Transmit correspondence via mail, email, or fax.
- Perform other duties as assigned or modified by management.
Required Knowledge, Skills, and Abilities
- Exceptional customer service skills, with a passion for serving others 😊
- Working knowledge of medical insurance and EMR systems
- Familiarity with ChenMed’s products, services, policies, and procedures
- Proficiency in operating phones, computers, and basic IT systems
- Excellent communication skills—professional, courteous, and clear
- Attention to detail to ensure data accuracy
- Strong listening skills
- Positive, professional attitude 🌟
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Willingness to travel locally up to 10%
- Fluency in both English and Vietnamese, in speech and writing
Education & Experience
- High school diploma or equivalent required
- Graduation from a recognized Medical Assistant program preferred
- Minimum 1 year of experience in a medical clinic or similar setting required
- BLS certification for Healthcare Providers preferred
Compensation & Benefits
Hourly Rate: $14.30 – $20.42
The final salary depends on experience, education, location, and other factors. This role may also qualify for bonuses or commissions.
