Position Overview
The Medical Receptionist (Care Facilitator) is often a patient’s first contact with our ChenMed family. As a patient advocate, you'll deliver exceptional customer service, check patients in and out, and provide essential administrative support. Your dedication to superior service will help build trusting relationships with our patients.
Essential Job Duties & Responsibilities
- Patient Interaction: Greet patients, record information, check-in and check-out, schedule appointments, and maintain lobby organization and cleanliness.
- Schedule Management: Act as gatekeeper for PCP and specialist schedules, ensuring top priority patients are scheduled every 13 days.
- Administrative Support: Use computer systems to add patient data, print forms, respond to emails, and generate new patient packets. Ensure contact information is accurate.
- Patient Engagement: Make “love” calls, mail birthday and greeting cards for special occasions.
- Communication: Answer phones, take detailed messages, and direct them appropriately. Clearly communicate with patients about clinical personnel.
- Insurance & Appointments: Verify insurance details, collect copays, and assist in scheduling follow-ups and specialist referrals.
- Patient Comfort & Support: Escort patients to exam rooms, ensuring their comfort and well-being.
- HEDIS & Reporting: Serve as HEDIS champion, monitor scheduled patients, and report hospitalizations and census data.
- Customer Service & Feedback: Present surveys at checkout and escalate issues as needed for immediate service recovery.
- Team Participation: Attend daily and weekly huddles to share patient updates.
- Transportation & Logistics: Manage transportation logistics, including driver coordination, medication and grocery deliveries, and ride scheduling via Uber or Lyft.
Additional Responsibilities
- Maintain confidentiality of patient information and records.
- Review and verify patient data for completeness and accuracy.
- Transmit correspondence through mail, email, or fax.
- Perform other duties as assigned and modified by management.
Knowledge, Skills & Abilities
- Exceptional customer service skills and a passion for serving others 😊
- Working knowledge of medical insurance and EMR systems
- Familiarity with ChenMed’s products, standards, policies, and procedures
- Proficiency in operating phones, computers, and software applications
- Strong professional and courteous communication skills
- Attention to detail to ensure accurate reports and data
- Excellent verbal and written communication skills
- Strong listening skills and a positive, professional attitude
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Willingness to travel up to 10% regionally
- Fluency in both English and Vietnamese (spoken and written)
Education & Experience Requirements
- High school diploma or equivalent required
- Graduation from a recognized Medical Assistant program preferred
- At least 1 year of experience in a medical clinic or similar environment required
- BLS for Healthcare Providers preferred
Compensation
The pay range is $14.30 - $20.42 per hour. Final compensation depends on experience, education, location, and other factors. Possibility of bonuses or commissions.
