Position Overview: Medical Receptionist (Care Facilitator)
As the first point of contact for our patients, you will serve as a patient advocate, delivering exceptional customer service and supporting the daily operations of our clinic. If you're innovative, hardworking, and driven by kindness and joy, we'd love to hear from you! 😊
Key Qualifications
- Bilingual proficiency in English and Vietnamese, both written and verbal
- High school diploma or equivalent required
- Minimum 1 year of experience in a medical clinic or similar environment
- Knowledge of medical insurance and EMR systems is a plus
- Ability to travel locally and regionally up to 10%
Essential Job Duties and Responsibilities
- Patient Interaction: Greet, check-in, check-out, schedule appointments, and conduct lobby checks for organization and cleanliness.
- Schedule Management: Serve as gatekeeper for PCP and specialist schedules, ensuring timely follow-ups for top patients.
- Administrative Support: Use computers to update patient info, print forms, respond to emails, and prepare new patient packets.
- Patient Engagement: Make “love” calls, send birthday and greeting cards to celebrate special events.
- Communication: Answer phones, relay messages accurately, and inform patients about clinical personnel and procedures.
- Insurance & Payments: Verify insurance details, collect copays, and assist with scheduling follow-ups and referrals.
- Patient Comfort & Support: Escort patients to exam rooms and ensure their comfort.
- Quality & Reporting: Act as HEDIS champion, monitor hospitalizations, and report relevant metrics.
- Customer Service & Escalation: Distribute surveys at check-out and escalate issues when necessary.
- Team Engagement: Participate in daily and weekly huddles to share patient updates.
- Transportation Coordination: Manage driver lists, medication and grocery deliveries, and coordinate Uber/Lyft rides for patients.
Other Responsibilities
- Maintain confidentiality of patient information and medical records
- Review patient and appointment details for accuracy
- Transmit correspondence via mail, email, or fax
- Perform additional duties as assigned by management
Skills, Knowledge, and Abilities

- Knowledge of medical insurance and EMR systems
- Proficient in Microsoft Office Suite (Excel, Word, Outlook)
- Excellent communication and listening skills 🎧
- Attention to detail and accuracy

- Ability to work collaboratively with patients and team members
- Ability and willingness to travel regionally as needed
Compensation & Benefits
The hourly pay range for this role is $14.30 - $20.42. Final compensation depends on experience, education, location, and other factors. This role may be eligible for bonuses or commissions.
