Medical Receptionist (Care Facilitator) - Bilingual English/Vietnamese

About the Role

The Medical Receptionist (Care Facilitator) is a vital first contact point for our patients. As a patient advocate, you’ll deliver outstanding customer service, facilitate smooth check-ins and outs, and support administrative functions, all while building trust and rapport with our patients. This position requires fluency in both written and verbal English and Vietnamese.

Essential Job Duties & Responsibilities

  • Patient Interaction: Greet, check-in, check-out, and schedule appointments. Conduct lobby checks for organization and cleanliness.
  • Schedule Management: Serve as gatekeeper for PCP and Specialist schedules, ensuring timely appointments for top patients every 13 days.
  • Administrative Support: Use computer systems to update patient information, print forms, respond to emails, and prepare new patient packets. Ensure accurate documentation of contact info and emergency contacts.
  • Patient Engagement: Conduct “love” calls, send birthday and holiday cards to foster relationships.
  • Communication: Answer phones, take accurate messages, and relay information clearly about ChenMed clinical personnel.
  • Insurance & Appointments: Verify insurance, collect copays, and assist with scheduling follow-up and specialist referrals.
  • Patient Comfort & Support: Escort patients to exam rooms, ensuring their comfort and well-being.
  • Quality & Compliance: Act as HEDIS champion by monitoring scheduled patients and reporting hospitalizations and census data.
  • Customer Service: Present surveys during check-out, escalate issues for immediate resolution.
  • Team Collaboration: Participate in daily and weekly huddles with team members.
  • Transportation Coordination: Manage transportation logistics, including Uber/Lyft rides, medication deliveries, and grocery pickups, while addressing behavioral challenges as needed.

Additional Responsibilities

  • Maintain confidentiality of patient records and personal information.
  • Review and verify patient data for accuracy and completeness.
  • Transmit correspondence via mail, email, or fax.
  • Perform other duties as assigned or modified at the manager’s discretion.

Knowledge, Skills & Abilities

  • Exceptional customer service skills and a passion for serving others 😊
  • Knowledge of medical insurance and electronic medical records (EMR) systems
  • Familiarity with ChenMed’s products, services, policies, and procedures
  • Proficient with phones, computers, software, and basic IT systems
  • Excellent verbal and written communication skills
  • Strong listening skills and attention to detail
  • Positive and professional attitude
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Ability to travel up to 10% regionally and locally 🚗
  • Fluency in both English and Vietnamese (spoken and written)

Education & Experience Requirements

  • High school diploma or equivalent required
  • Graduation from a nationally accredited Medical Assistant program preferred
  • At least 1 year of experience in a medical clinic or similar setting required
  • BLS certification for Healthcare Providers preferred

Compensation & Benefits

The hourly pay range for this role is $14.3 - $20.42. Final salary depends on experience, education, location, and other factors. The position may be eligible for bonuses or commissions.
