Position Overview

The Medical Receptionist (Care Facilitator) is typically a patient’s first contact with ChenMed, acting as a patient advocate by delivering outstanding customer service. This role involves checking patients in and out, providing administrative support, and building trusting relationships with our patients. Fluency in both English and Vietnamese—spoken and written—is required.

Key Responsibilities

  • Patient Interaction: Greet, check-in, check-out, and schedule appointments while ensuring lobby organization and cleanliness.
  • Schedule Management: Serve as gatekeeper for PCP and specialist schedules, ensuring Top 40 patients are scheduled every 13 days.
  • Administrative Support: Use computer systems to update patient info, print forms, respond to emails, and prepare New Patient packets.
  • Patient Engagement: Make “love” calls, send birthday and greeting cards for special occasions.
  • Communication: Answer calls, record detailed messages, and relay information clearly to patients and staff.
  • Insurance & Appointments: Verify insurance via phone or online, collect copays, and assist with follow-up and specialist referrals.
  • Patient Comfort & Support: Escort patients to exam rooms and ensure their well-being.
  • HEDIS & Reporting: Act as HEDIS champion, monitor hospitalizations, and report relevant data.
  • Customer Service & Escalation: Distribute satisfaction surveys and escalate issues as needed for immediate resolution.
  • Team Participation: Join daily and weekly huddles to share patient updates.
  • Transportation Coordination: Manage driver lists, medication and grocery deliveries, and coordinate Uber/Lyft rides for patients.
  • Additional Duties: Maintain confidentiality, review and transmit patient correspondence, and perform other duties at manager’s discretion.

Knowledge, Skills & Abilities

  • Exceptional customer service skills and a passion for serving others 😊
  • Working knowledge of medical insurance, EMR systems, and Microsoft Office Suite
  • Professional communication with patients and staff in a courteous manner
  • Attention to detail to ensure data accuracy
  • Strong listening and verbal/written communication skills
  • Positive, professional attitude and proactive mindset
  • Bilingual fluency in English and Vietnamese (spoken and written)
  • Ability and willingness to travel up to 10% regionally

Education & Experience Requirements

  • High School diploma or equivalent required
  • Graduation from a recognized Medical Assistant program preferred
  • At least 1 year of work in a medical clinic or similar environment required
  • BLS certification for Healthcare Providers preferred

Compensation & Benefits

The hourly pay range for this role is $14.30 – $20.42. Actual pay will depend on experience, education, and location. This position may also be eligible for bonuses or commissions.
