Position Overview: Medical Receptionist (Care Facilitator) 👩‍⚕️👨‍⚕️

The Medical Receptionist (Care Facilitator) is often the first point of contact for our patients. This role involves advocating for patients by providing exceptional customer service, managing schedules, and supporting administrative functions. Bilingual fluency in English and Vietnamese (both written and verbal) is required.

Key Responsibilities

  • Patient Interaction: Greet, check-in/out patients, record information, and schedule appointments. Ensure lobby organization and cleanliness.
  • Schedule Management: Serve as gatekeeper for PCP and Specialist schedules, ensuring priority patients are scheduled every 13 days.
  • Administrative Support: Utilize computer systems to update patient info, generate forms, respond to emails, and prepare New Patient packets.
  • Patient Engagement: Conduct “love” calls, send birthday and greeting cards celebrating special events.
  • Communication: Answer phone calls, take detailed messages, and relay information about clinical personnel to patients and staff.
  • Insurance & Payments: Verify insurance details, collect copays, and assist with scheduling follow-up and referral appointments.
  • Patient Escort: Escort patients to exam rooms, ensuring their comfort and well-being.
  • HEDIS & Reporting: Monitor and report on HEDIS needs and hospitalizations, providing visibility to clinical staff.
  • Patient Satisfaction: Present customer service surveys during check-out and address escalated concerns promptly.
  • Team Participation: Contribute to daily/weekly huddles with patient updates.
  • Transportation Management: Coordinate Uber/Lyft rides, manage drivers, medication, and grocery deliveries, including behavioral considerations.

Additional Duties

  • Maintain confidentiality of patient information and medical records.
  • Review and verify personal and appointment information for accuracy.
  • Transmit correspondence via mail, email, or fax.
  • Perform other duties as assigned or modified at manager’s discretion.

Knowledge, Skills & Abilities 💡

  • Exceptional customer service passion and skills.
  • Working knowledge of medical insurance, EMR systems, and ChenMed products/services.
  • Proficiency in operating phones, computers, and IT systems.
  • Professional and courteous communication with staff, patients, and other stakeholders.
  • Attention to detail for accurate data entry and report generation.
  • Strong verbal and written communication skills.
  • Active listening abilities.
  • Positive, professional attitude.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Willingness to travel regionally up to 10%.
  • Fluency in English and Vietnamese (spoken and written).

Educational & Experience Requirements 🎓

  • High school diploma or equivalent required.
  • Graduation from a nationally accredited Medical Assistant program preferred.
  • Minimum 1 year of experience in a medical clinic or similar environment.
  • Basic Life Support (BLS) certification for Healthcare Providers preferred.

Compensation & Benefits 💰

The pay range for this role is $14.30 - $20.42 per hour. Final salary depends on experience, education, location, and other factors. The position may be eligible for bonuses or commissions.
