Position Overview: Medical Receptionist (Care Facilitator) ✨
This vital role is often a patient's first contact with ChenMed and entails serving as a patient advocate by delivering exceptional customer service. The Care Facilitator checks patients in and out, provides administrative support, and helps foster trusting relationships through every interaction.
Note: Candidates must be bilingual (English/Vietnamese) and fluent in both written and verbal communication.
Essential Job Duties & Responsibilities
- Patient Interaction: Greet, check-in, check-out, and schedule appointments, ensuring a welcoming environment and lobby organization.
- Schedule Management: Manage PCP and Specialist schedules, ensuring top patients are scheduled every 13 days.
- Administrative Tasks: Use computer systems to update patient records, print forms, respond to emails, and prepare New Patient packets.
- Patient Engagement: Conduct “love” calls, send birthday and greeting cards to celebrate milestones.
- Phone & Communication: Answer calls, take detailed messages, and relay information clearly about ChenMed personnel.
- Insurance & Payments: Verify patient insurance, collect copays, and assist with scheduling follow-up or specialist appointments.
- Patient Comfort & Support: Escort patients to exam rooms and ensure their well-being.
- HEDIS & Reporting: Monitor HEDIS metrics, report hospitalizations, and provide visibility on patient care needs.
- Customer Service & Feedback: Present surveys during checkout and escalate issues for immediate resolution.
- Team Participation: Contribute to daily and weekly huddles with relevant patient information.
- Transportation Coordination: Manage driver schedules, medication deliveries, grocery deliveries, and transportation rides (Uber/Lyft) for patients.
Additional Responsibilities
- Protect patient confidentiality and handle medical records securely.
- Review and verify patient information for accuracy and completeness.
- Transmit correspondence via mail, email, or fax as needed.
- Perform any other duties assigned or adjusted by management.
Knowledge, Skills & Abilities 💡
- Exceptional customer service and passion for helping others
- Knowledge of medical insurance and electronic medical records (EMR systems)
- Understanding of ChenMed products, services, standards, policies, and procedures
- Proficiency in using phones, PCs, software, and basic IT systems
- Clear and professional communication with all stakeholders
- Meticulous attention to detail for accurate data entry and reporting
- Excellent listening and verbal/written communication skills
- Positive, professional attitude
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Ability and willingness to travel up to 10% regionally
- Fluency in English and Vietnamese (both written and spoken)
Education & Experience Requirements 🎓
- High school diploma or equivalent required
- Graduation from a recognized Medical Assistant program preferred
- At least 1 year of experience in a medical clinic or similar environment
- BLS for Healthcare Providers preferred
Compensation & Benefits 💰
Hourly rate: $14.30 - $20.42
The final salary depends on experience, education, location, and other factors. Bonus and commission eligibility may also apply.
