About the Role
The Medical Receptionist (Care Facilitator) is one of the first contacts for our patients at ChenMed. You will serve as a patient advocate by delivering exceptional customer service, managing patient check-ins and outs, and providing administrative support. This role requires full bilingual proficiency in English and Vietnamese, both written and verbal.
Essential Job Duties & Responsibilities
- Patient Interaction: Greet, check-in/out patients, schedule appointments, and maintain lobby organization and cleanliness.
- Schedule Management: Act as gatekeeper for primary care and specialist schedules, ensuring top patients are scheduled every 13 days.
- Administrative Support: Use computer systems to update patient records, print forms, respond to emails, and prepare new patient packets.
- Patient Engagement: Conduct "love" calls, send birthday and greeting cards to celebrate special occasions.
- Communication: Answer calls, record messages accurately, and relay information about clinical personnel to patients and staff.
- Insurance & Payments: Verify insurance details, collect copays, and assist with follow-up or specialist appointments.
- Patient Comfort & Safety: Escort patients to exam rooms, ensuring their comfort and well-being.
- HEDIS & Reporting: Serve as a HEDIS champion, monitor hospitalizations, and provide relevant patient data.
- Customer Service: Distribute surveys during check-out, escalate concerns promptly, and participate in team huddles.
- Transportation & Logistics: Manage transportation needs, including Uber/Lyft rides, medication and grocery deliveries, and driver coordination.
Additional Responsibilities
- Maintain confidentiality of patient information and records.
- Ensure the accuracy of patient and appointment data.
- Transmit correspondence via mail, email, or fax.
- Perform other duties as assigned or modified at the manager’s discretion.
Knowledge, Skills & Abilities
- Excellent customer service skills with a passion for serving others 🚀
- Knowledge of medical insurance systems and EMR platforms 🖥️
- Understanding of ChenMed services, policies, and procedures 📋
- Proficient with phones, computers, and basic IT systems 🔧

- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) 💻
- Willingness to travel up to 10% regionally 🚗
- Fluency in both English and Vietnamese (spoken and written) 🗣️🇻🇳
Education & Experience Requirements
- High school diploma or equivalent 🎓
- Graduation from a recognized Medical Assistant program (preferred) 🎓
- Minimum 1 year of experience in a medical setting 🏥
- BLS certification for Healthcare Providers (preferred) ❤️
Compensation & Benefits
Hourly Range: $14.30 – $20.42
Final pay depends on experience, education, location, and other relevant factors. This position may qualify for bonuses or commissions.
