Position Overview: Medical Receptionist (Care Facilitator)

The Medical Receptionist, also known as a Care Facilitator, is often the first point of contact a patient has with our family. This role involves serving as a patient advocate, delivering exceptional customer service, and supporting our clinical team. Candidates must be bilingual (English/Vietnamese) and fluent in both written and verbal communication.

Key Responsibilities

  • Patient Interaction: Greet patients, check them in and out, schedule appointments, and maintain lobby organization and cleanliness.
  • Schedule Management: Serve as gatekeeper for PCP and specialist schedules, ensuring top 40 patients are scheduled every 13 days.
  • Administrative Support: Use computer systems to update patient information, print forms, respond to emails, and prepare new patient packets.
  • Patient Engagement: Make "love" calls, send birthday and greeting cards to celebrate special occasions.
  • Communication: Answer phones, take detailed messages, and relay information clearly to staff and patients.
  • Insurance & Appointments: Verify insurance, collect copays, and assist with follow-ups and referrals.
  • Patient Comfort & Support: Escort patients to exam rooms and ensure their well-being.
  • HEDIS & Reporting: Act as HEDIS champion, monitor scheduled patients, and report hospitalizations.
  • Customer Service & Feedback: Present surveys at checkout and handle service recovery if needed.
  • Team Collaboration: Participate in daily and weekly huddles to share pertinent patient information.
  • Transportation Coordination: Manage driver lists, medication and grocery deliveries, and arrange Uber/Lyft rides for patients.

Additional Responsibilities

  • Maintain confidentiality of patient records and personal information.
  • Review patient data for completeness and accuracy.
  • Transmit correspondence via mail, email, or fax.
  • Perform other duties as assigned by management.

Required Knowledge, Skills, and Abilities

  • Exceptional customer service skills with a passion for serving others 😊
  • Working knowledge of medical insurance and EMR systems
  • Familiarity with ChenMed's products, services, policies, and procedures
  • Proficiency in operating phones, computers, and basic IT systems
  • Professional and courteous communication with staff and patients
  • Attention to detail for accurate reporting and data entry
  • Strong verbal and written communication skills 🗣️✍️
  • Excellent listening skills
  • Positive, professional attitude
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Ability to travel locally and regionally up to 10% 🚗
  • Fluency in English and Vietnamese (spoken and written)

Education & Experience Requirements

  • High school diploma or equivalent required 🎓
  • Graduation from a nationally accredited Medical Assistant program preferred
  • Minimum 1 year of experience in a medical clinic or similar setting
  • BLS certification for Healthcare Providers is a plus

Compensation & Benefits

The hourly pay range for this position is $14.30 - $20.42. Final compensation depends on experience, education, and location. The role may also be eligible for bonuses or commissions.
