Position Overview: Medical Receptionist (Care Facilitator)
The Medical Receptionist (Care Facilitator) serves as a vital ambassador for our care team, providing exceptional customer service and administrative support. Fluency in English and Vietnamese is essential, both in speaking and writing, to effectively communicate with our diverse patient population.
Key Responsibilities
- Patient Interaction: Greeting patients, managing check-ins and check-outs, scheduling appointments, and ensuring a welcoming environment. Conduct lobby checks to maintain organization and cleanliness.
- Schedule Management: Act as gatekeeper for PCP and specialist schedules, ensuring timely appointments, especially for top priority patients every 13 days.
- Administrative Tasks: Use computer systems to enter patient data, print forms, respond to emails, and prepare New Patient packets. Keep contact details accurate and up-to-date.
- Patient Engagement: Make “love” calls, send birthday and greeting cards to celebrate special occasions.
- Communication & Verification: Answer phones, take detailed messages, communicate with clinical staff, verify insurance details, and process copays.
- Patient Support: Escort patients to exam rooms, ensuring their comfort, and assist with follow-up appointments and referrals to specialists.
- Quality & Compliance: Act as HEDIS champion, monitor hospitalizations, and provide reports on patient status.
- Customer Service & Feedback: Present satisfaction surveys during checkout and escalate concerns as needed.
- Team Collaboration: Participate in daily huddles to share patient updates and coordinate care.
- Transportation Coordination: Manage driver schedules, medication and grocery deliveries, and rideshare arrangements for patients.
Additional Responsibilities
- Maintain confidentiality of patient information and medical records.
- Review and verify patient data accuracy.
- Transmit correspondence via mail, email, or fax.
- Perform other duties as assigned by management.
Required Knowledge, Skills, and Abilities
- Exceptional customer service skills and a passion for caring for others.
- Knowledge of medical insurance and electronic medical record (EMR) systems.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
- Strong communication skills, both verbal and written, in English and Vietnamese.
- Attention to detail and accuracy in data handling.
- Outstanding listening skills and a positive, professional attitude.
- Ability to operate phones, computers, and basic IT systems effectively.
- Willingness to travel up to 10% regionally.
Education & Experience Requirements
- High school diploma or equivalent.
- Graduation from an accredited Medical Assistant program preferred.
- At least 1 year of experience in a medical clinic or similar environment.
- BLS certification for Healthcare Providers is a plus.
Compensation & Benefits
Pay Range: $14.30 - $20.42 per hour
This range reflects the base hourly rate or full-time annual salary, with final compensation determined by experience, education, location, and other factors. Bonus and commission eligibility may apply.
