About the Position

The Medical Receptionist (Care Facilitator) is often the first point of contact for our patients, serving as a patient advocate and delivering exceptional customer service. This bilingual role (English/Vietnamese) involves administrative support, patient check-in/check-out, and building trusting relationships with our patients.

Key Responsibilities

  • Patient Interactions: Greet, check-in/out patients, schedule appointments, and conduct lobby checks for organization and cleanliness.
  • Schedule Management: Manage schedules for PCP and specialists, ensuring top patient priority every 13 days.
  • Administrative Tasks: Update patient records, print forms, respond to emails, and prepare New Patient packets.
  • Patient Engagement: Make "love" calls, send birthday and greeting cards to celebrate special moments.
  • Communication: Answer calls, relay messages accurately, and inform patients about clinical personnel and clinic procedures.
  • Insurance & Follow-up: Verify insurance, collect copays, and assist with referral scheduling.
  • Patient Comfort: Escort patients to exam rooms, ensuring their wellbeing.
  • Quality & Reporting: Serve as HEDIS champion, monitor hospitalizations, and report on various metrics.
  • Customer Service & Escalation: Present surveys during checkout and escalate issues as needed.
  • Team Collaboration: Participate in daily/weekly huddles and coordinate transportation logistics for patients.

Additional Responsibilities

  • Maintain patient confidentiality and ensure data accuracy.
  • Transmit correspondence via mail, email, or fax.
  • Perform other duties as assigned or modified by management.

Knowledge, Skills & Abilities

  • Customer Service: Passionate about serving others.
  • Technical Skills: Knowledge of medical insurance, EMR systems, Microsoft Office Suite.
  • Communication: Professional, courteous, and strong listening skills.
  • Attention to Detail: Ensuring accuracy in reports and data management.
  • Languages: Fluent in spoken and written English and Vietnamese.
  • Travel: Willing to travel up to 10% regionally and locally.

Education & Experience Requirements

  • High school diploma or equivalent required.
  • Graduation from a recognized Medical Assistant program preferred.
  • At least 1 year of experience in a medical setting required.
  • Completion of BLS for Healthcare Providers preferred.

Compensation & Benefits

The hourly pay range for this position is $14.30 – $20.42. Final salary depends on experience, education, and location. This role may include bonuses or commissions.
