About the Role: Medical Receptionist (Care Facilitator) 🩺

The Medical Receptionist, also known as a Care Facilitator, is often the first point of contact for our patients. This role involves delivering exceptional customer service, advocating for patients, and supporting clinic operations through administrative tasks. Success in this position requires a strong commitment to superior service, building trust through every interaction, and fluency in both written and verbal communication in English and Vietnamese.

Key Responsibilities 🎯

  • Patient Interaction: Greet, check-in, check-out, and schedule appointments while recording pertinent information and maintaining lobby organization and cleanliness.
  • Schedule Management: Act as gatekeeper for PCP and Specialist schedules, ensuring top priority patients are scheduled every 13 days.
  • System Utilization: Use computer systems to update patient information, print forms, respond to emails, and prepare New Patient packets. Ensure contact details are accurate.
  • Patient Engagement: Make “love” calls, send birthday and greeting cards to celebrate special events.
  • Communication: Answer phones, take detailed messages, and inform patients about clinical personnel and appointments.
  • Insurance and Payments: Verify insurance details via phone or online, collect copays, and assist with follow-up or referral scheduling.
  • Patient Comfort & Advocacy: Escort patients to exam rooms, ensuring their comfort and well-being.
  • Quality & Reporting: Promote HEDIS initiatives, report hospitalizations, and monitor patient census data.
  • Customer Satisfaction: Present surveys during checkout and escalate issues to ensure immediate service recovery.
  • Team Collaboration: Participate in daily huddles, sharing updates on patient care and clinic status.
  • Transportation Coordination: Manage transportation schedules, medication and grocery deliveries, and rideshare arrangements (Uber/Lyft).

Additional Duties 🚀

  • Maintain confidentiality of patient information and medical records.
  • Review and verify patient and appointment data for completeness and accuracy.
  • Transmit correspondence via mail, email, or fax.
  • Perform other duties as assigned or modified by management.

Qualifications & Skills 🌟

  • Exceptional customer service skills and a passion for serving others.
  • Knowledge of medical insurance and electronic medical record (EMR) systems.
  • Familiarity with ChenMed’s services, standards, policies, and procedures.
  • Proficient in operating phones, computers, software, and basic IT systems.
  • Excellent communication and listening skills in a professional manner.
  • Attention to detail to ensure accuracy of data and reports.
  • Positive, professional attitude and strong interpersonal skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Willingness to travel locally and regionally up to 10%.
  • Fluency in spoken and written English and Vietnamese.

Education & Experience 📚

  • High school diploma or equivalent required.
  • Graduation from a nationally accredited Medical Assistant program preferred.
  • Minimum of 1 year experience in a medical clinic or similar environment required.
  • BLS certification for Healthcare Providers preferred.

Compensation 💵

The hourly pay range for this position is $14.30 - $20.42. Final salary depends on experience, education, location, and other relevant factors. This role may also include bonuses or commissions.
