Position Overview: Medical Receptionist (Care Facilitator) 🎉

The Medical Receptionist, also known as the Care Facilitator, is often a patient’s first contact with the ChenMed family. This role involves serving as a patient advocate by delivering exceptional customer service, managing patient check-ins and out, and providing basic administrative support. A successful Care Facilitator is committed to superior service and views each interaction as an opportunity to build trust and rapport with patients.

Essential Job Duties & Responsibilities

  • Patient Interaction: Greet patients, check them in and out, schedule appointments, and record information accurately. Maintain lobby organization and cleanliness.
  • Schedule Management: Serve as gatekeeper for PCP and specialist schedules, ensuring top 40 patients are scheduled every 13 days.
  • Administrative Tasks: Use computer systems to add patient info, print forms, respond to emails, and generate new patient packets. Ensure contact details are current.
  • Patient Engagement: Conduct “love” calls, send birthday and greeting cards to celebrate special events.
  • Communication: Answer phones, take detailed messages, and relay information clearly to staff.
  • Insurance & Scheduling: Verify patient insurance, collect copays, and assist with follow-up and specialist appointments.
  • Patient Escort: Escort patients to exam rooms, ensuring their comfort and well-being.
  • HEDIS & Reporting: Act as a HEDIS champion, monitor scheduled patients, and report on hospitalizations.
  • Customer Service Survey: Present and escalate surveys during checkout for immediate service recovery if needed.
  • Team Participation: Join daily and weekly huddles to share patient updates.
  • Transportation & Delivery: Coordinate driver schedules, medication and grocery deliveries, and Uber/Lyft rides for patients.

Additional Responsibilities

  • Maintain confidentiality of patient information and medical records.
  • Review and verify patient details for accuracy.
  • Transmit correspondence via mail, email, or fax.
  • Perform other duties as assigned or modified by management.

Knowledge, Skills & Abilities 🌟

  • Exceptional customer service skills with a passion for helping others
  • Knowledge of medical insurance and electronic medical records (EMR systems)
  • Familiarity with ChenMed’s products, services, standards, policies, and procedures
  • Proficient in operating phones, computers, and basic IT systems
  • Professional and courteous communication with patients, employees, and others
  • Detail-oriented with strong report and data accuracy skills
  • Excellent verbal and written communication skills
  • Strong listening skills and a positive attitude
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook)
  • Willingness to travel up to 10% regionally
  • Fluency in English and Vietnamese, both written and spoken

Education & Experience Criteria 📚

  • High school diploma or equivalent required
  • Graduation from a nationally accredited Medical Assistant program preferred
  • Minimum of 1 year experience in a medical clinic or similar environment required
  • BLS certification for Healthcare Providers is preferred

Compensation & Benefits 💰

Pay Range: $14.30 - $20.42 per hour

The final compensation depends on experience, education, location, and other relevant factors. This role may also include bonus or commission opportunities.
