Healthcare Customer Service Opportunity: Bilingual Medical Receptionist (Care Facilitator)

Position Overview

The Medical Receptionist (Care Facilitator) is often the first point of contact for our patients and serves as a vital advocate in delivering outstanding customer service. Your role will involve welcoming patients, managing appointments, providing administrative support, and building trusting relationships. 💼

This role requires fluency in both written and verbal English and Vietnamese.

Essential Job Duties & Responsibilities

  • Patient Interaction: Greet patients, check them in and out, schedule appointments, and maintain lobby organization and cleanliness.
  • Schedule Management: Serve as gatekeeper for PCP and specialist schedules, ensuring key patients are scheduled every 13 days.
  • Data Entry & Communication: Use computer systems to add patient info, print forms, respond to emails, and prepare new patient packets. Ensure contact information is accurate.
  • Engagement & Outreach: Make “love” calls, send birthday and greeting cards to celebrate special events.
  • Communication Handling: Answer phone calls, take detailed messages, and direct them appropriately.
  • Patient Verification & Scheduling: Verify insurance, collect copays, and assist with follow-up and referral appointments.
  • Patient Escort & Comfort: Escort patients to exam rooms, ensuring their comfort and well-being.
  • HEDIS & Reporting: Support HEDIS initiatives, monitor hospitalizations, and report on patient care metrics.
  • Customer Service & Feedback: Present surveys during check-out and escalate issues for service recovery.
  • Team Participation: Join daily and weekly huddles to discuss patient care and operational updates.
  • Transportation Coordination: Manage transportation needs, including Uber/Lyft rides, medication or grocery deliveries, and addressing behavioral challenges.

Additional Responsibilities

  • Maintain confidentiality of patient information and medical records.
  • Review and verify patient data for accuracy and completeness.
  • Transmit correspondence via mail, email, or fax.
  • Perform other duties as assigned or adjusted by management.

Required Knowledge, Skills & Abilities

  • Exceptional customer service passion and skills ❤️
  • Basic knowledge of medical insurance & EMR systems
  • Understanding of ChenMed products, services, and policies
  • Proficient with phones, computers, and software (Microsoft Office Suite)
  • Professional and courteous communication skills
  • Attention to detail for accurate reporting
  • Strong listening and verbal skills
  • Positive, professional attitude
  • Ability to travel up to 10% locally and regionally
  • Fluency in English and Vietnamese, both written and spoken 🗣️

Education & Experience Requirements

  • High school diploma or equivalent required
  • Medical Assistant certification from an accredited program preferred
  • At least 1 year of experience in a medical or similar setting required
  • BLS certification for Healthcare Providers preferred

Compensation & Benefits

The hourly pay ranges from $14.30 to $20.42. Actual pay depends on experience, education, location, and other factors. The role may also include bonus or commission opportunities.
