Position Overview: Medical Receptionist (Care Facilitator) 🩺
As one of the first contacts in the ChenMed family, the Medical Receptionist serves as a patient advocate, delivering exceptional customer service. This bilingual role (English/Vietnamese) involves checking patients in/out, administrative support, and building trusting relationships.
Essential Job Duties & Responsibilities
- Patient Interaction: Greet, check-in/out, schedule appointments, and conduct lobby checks to ensure organization and cleanliness.
- Schedule Management: Serve as gatekeeper for PCP and Specialist schedules, ensuring timely appointments for top patients every 13 days.
- Administrative Support: Utilize computer systems to add patient info, print forms, respond to emails, and prepare New Patient packets. Ensure contact details are accurate.
- Patient Engagement: Make "love" calls, send birthday and greeting cards to celebrate special events.
- Communication: Answer phones, take detailed messages, and relay information about ChenMed personnel.
- Insurance & Payments: Verify insurance, collect copays, and assist with scheduling follow-ups and referrals.
- Patient Comfort & Advocacy: Escort patients to exam rooms and ensure their well-being.
- HEDIS & Reporting: Act as HEDIS champion, monitor hospitalizations, and report on various metrics like HITS census and ENS Ping.
- Customer Feedback & Continuous Improvement: Distribute surveys during check-out and escalate issues for immediate resolution.
- Team Collaboration: Participate in daily and weekly huddles to share patient updates.
- Transportation Coordination: Manage driver lists, medication and grocery deliveries, and coordinate Uber/Lyft rides for patients.
Additional Responsibilities
- Maintain confidentiality of patient data and records.
- Review and verify patient information for completeness and accuracy.
- Transmit correspondence via mail, email, or fax.
- Perform other duties as assigned or modified at the manager’s discretion.
Knowledge, Skills & Abilities 💡
- Exceptional customer service skills with a passion for serving others.
- Working knowledge of medical insurance and electronic medical records (EMR).
- Understanding of ChenMed’s products, services, policies, and procedures.
- Proficiency in operating phones, computers, and basic IT systems.
- Strong professional communication skills (verbal and written).
- Attention to detail to ensure data accuracy.
- Excellent listening skills and a positive attitude.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Willingness to travel up to 10% regionally.
- Bilingual fluency in English and Vietnamese (spoken/written).
Education & Experience Requirements 🎓
- High school diploma or equivalent required.
- Graduation from a recognized Medical Assistant program preferred.
- At least 1 year of experience in a medical clinic or similar environment.
- BLS for Healthcare Providers certification preferred.
Compensation & Benefits 💼
Pay Range: $14.30 – $20.42 hourly
The final salary will depend on experience, education, location, and other factors. The position may also include bonuses or commissions.
