Note: This position requires bilingual proficiency in English and Vietnamese, both written and verbal.

Position Overview: Medical Receptionist (Care Facilitator)

As one of the first contacts our patients encounter, the Care Facilitator serves as a patient advocate, delivering exceptional customer service, checking patients in/out, and providing administrative support. The ideal candidate builds trust through every interaction and demonstrates a strong commitment to superior service.

Essential Job Duties & Responsibilities

  • Patient Interaction: Greet, check-in, check-out, and schedule appointments while ensuring lobby organization and cleanliness.
  • Schedule Management: Serve as gatekeeper for PCP and specialist schedules, ensuring top 40 patients are scheduled every 13 days.
  • Data Entry & Documentation: Use computer systems to add patient info, print forms, respond to emails, generate packets, and ensure contact info accuracy.
  • Patient Engagement: Make “love” calls, send birthday and greeting cards for special occasions.
  • Communication: Answer phones, take messages, and relay information about ChenMed’s clinical staff to patients and others.
  • Insurance & Payments: Verify insurance, collect copays, and assist with scheduling follow-ups and referrals.
  • Patient Comfort & Escort: Escort patients to exam rooms, ensuring their well-being and comfort.
  • HEDIS & Reporting: Act as HEDIS champion, monitor scheduled patient needs, report hospitalizations, and provide relevant data.
  • Customer Service & Feedback: Present surveys during check-out and escalate issues for immediate service recovery.
  • Team Participation: Join daily/weekly huddles to share patient insights and updates.
  • Transportation Coordination: Manage drivers, deliveries, and coordinate Uber/Lyft rides for patients.

Other Responsibilities

  • Maintain confidentiality of patient information and records.
  • Review and verify patient data for accuracy and completeness.
  • Transmit correspondence via mail, email, or fax.
  • Perform additional duties as assigned or modified by management.

Knowledge, Skills & Abilities

  • Exceptional customer service skills with a passion for serving others ❤️
  • Familiarity with medical insurance and EMR systems
  • Knowledge of ChenMed products, policies, and procedures
  • Proficiency with phones, computers, and basic IT tools
  • Professional communication with patients, staff, and colleagues
  • Attention to detail for data accuracy
  • Excellent verbal and written communication skills ✏️
  • Strong listening skills and a positive attitude 😊
  • Proficiency in Microsoft Office Suite
  • Willingness to travel up to 10% regionally
  • Fluency in English and Vietnamese (spoken and written)

Education & Experience

  • High school diploma or equivalent required
  • Graduation from an accredited Medical Assistant program preferred
  • Minimum 1 year of medical clinic experience required
  • BLS for Healthcare Providers preferred

Compensation & Benefits

Pay Range: $14.30 – $20.42 per hour

The final salary depends on experience, education, location, and other factors. This role may also include bonuses or commissions.
