Position Overview: Medical Receptionist (Care Facilitator) 💙

The Care Facilitator is one of the first contacts a patient has with our ChenMed family. This role involves serving as a patient advocate and delivering exceptional customer service. The incumbent will greet patients, manage their check-in and check-out processes, and provide basic administrative support. A successful Care Facilitator is committed to superior service and sees every interaction as an opportunity to build trusting relationships.

Essential Job Duties & Responsibilities

  • Patient Interaction: Greet, check-in, check-out, schedule appointments, and conduct lobby checks to ensure organization and cleanliness.
  • Schedule Management: Serve as gatekeeper for PCP and specialist schedules, ensuring Top 40 patients are scheduled every 13 days.
  • Administrative Tasks: Use computer systems to add patient data, print forms, respond to emails, and generate new patient packets; ensure contact information is accurate.
  • Patient Engagement: Conduct “love” calls, send birthday and greeting cards to commemorate special events.
  • Communication: Answer phones, take detailed messages, and share information about ChenMed clinical personnel.
  • Insurance & Referrals: Verify insurance, collect copays, and assist with referral scheduling as needed.
  • Patient Comfort & Advocacy: Escort patients to exam rooms and ensure their comfort and well-being.
  • HEDIS & Reporting: Act as the HEDIS champion, providing visibility of needs and reporting hospitalizations, census, and other data.
  • Customer Service & Feedback: Present patient surveys during checkout and address concerns for immediate service recovery.
  • Team Participation: Join daily and weekly huddles to provide updates on patient care.
  • Other Responsibilities: Manage transportation aspects, including scheduling Uber/Lyft rides, and perform miscellaneous duties as assigned.

Additional Responsibilities

  • Maintain confidentiality of patient information and medical records.
  • Review and verify patient information for accuracy and completeness.
  • Transmit correspondence via mail, email, or fax.
  • Perform other duties as assigned or modified at the manager’s discretion.

Knowledge, Skills & Abilities 🚀

  • Exceptional customer service skills and passion for serving others.
  • Working knowledge of medical insurance and EMR systems.
  • Familiarity with ChenMed’s products, services, standards, policies, and procedures.
  • Proficiency with phones, computers, and basic IT systems.
  • Professional and courteous communication with employees, patients, and others.
  • Attention to detail to ensure data accuracy.
  • Outstanding verbal and written communication skills.
  • Strong listening skills and a positive, professional attitude.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Willingness to travel up to 10% regionally and locally.
  • Fluency in English and Vietnamese (spoken and written).

Education & Experience Requirements 🎓

  • High school diploma or equivalent required.
  • Graduation from a recognized Medical Assistant program preferred.
  • Minimum of 1 year of experience in a medical clinic or similar environment.
  • BLS certification for Healthcare Providers preferred.

Compensation & Benefits 💰

The hourly pay range is $14.30 - $20.42. Final compensation depends on experience, education, location, and other factors. This position may also be eligible for bonuses or commissions.
