Position Highlights

The Medical Receptionist (Care Facilitator) is often the first point of contact for our patients, embodying compassion and professionalism to foster trust and comfort. This role involves administrative support, patient advocacy, and ensuring smooth clinic operations.

Key Responsibilities

  • Patient Interaction: Greet, check-in/out patients, schedule appointments, and conduct lobby checks for organization and cleanliness.
  • Schedule Management: Act as gatekeeper for PCP and Specialist schedules, ensuring timely appointments, especially for top 40 patients every 13 days.
  • System Utilization: Use computer systems to update patient information, print forms, respond to emails, and prepare new patient packets.
  • Patient Engagement: Make "love" calls, send birthday and greeting cards to celebrate patients' special moments.
  • Communication: Answer phones, take accurate messages, and relay information about ChenMed staff to patients.
  • Insurance & Appointments: Verify insurance details, collect copays, and assist with follow-up and referral scheduling.
  • Patient Comfort: Escort patients to exam rooms, ensuring their well-being and comfort.
  • HEDIS & Reporting: Serve as HEDIS champion, monitor hospitalizations, and report on related metrics.
  • Customer Service & Surveys: Present surveys at check-out, escalate issues as needed for immediate service recovery.
  • Team Participation: Contribute to daily huddles with detailed patient updates.
  • Transport Coordination: Manage transportation logistics including rides, medication, and grocery deliveries, and address behavioral challenges.

Additional Duties

  • Maintain confidentiality of patient information and records.
  • Review and verify patient data for accuracy and completeness.
  • Transmit correspondence via mail, email, or fax.
  • Perform other duties as assigned or modified by management.

Qualifications & Skills

  • Customer Service: Passion for serving others with professionalism and compassion.
  • Technical Skills: Knowledge of medical insurance, EMR systems, and basic IT tools.
  • Communication: Excellent verbal and written skills; strong listening abilities.
  • Attention to Detail: Ensuring accuracy in reports and data management.
  • Professional Attitude: Positive, courteous, and solution-oriented outlook.
  • Technical Proficiency: Microsoft Office Suite (Excel, Word, Outlook).
  • Language Fluency: Bilingual fluency in English and Vietnamese, both written and verbal.
  • Mobility: Ability and willingness to travel up to 10% regionally.

Education & Experience Requirements

  • High school diploma or equivalent required.
  • Graduation from a recognized Medical Assistant program preferred.
  • At least 1 year of experience in a medical clinic or similar setting required.
  • BLS certification for Healthcare Providers is a plus.

Compensation & Benefits

Hourly wage ranges from $14.30 to $20.42. Final pay depends on experience, education, location, and other factors. Additional perks may include bonuses or commissions.
