Position Overview
The Medical Receptionist (Care Facilitator) is often the first contact for patients, serving as their advocate by delivering outstanding customer service. This role involves checking patients in and out of the clinic, providing administrative support, and building trusting relationships through every interaction. Fluency in both written and verbal English and Vietnamese is required.
Core Responsibilities
- Patient Interaction: Greet, check-in, check-out, and schedule appointments while maintaining organization and cleanliness in the lobby.
- Schedule Management: Act as gatekeeper for PCP and Specialist schedules, ensuring top-priority patients are scheduled every 13 days.
- Administrative Tasks: Use computer systems to update patient info, print forms, respond to emails, and prepare New Patient packets. Ensure contact details are accurate.
- Patient Engagement: Make “love” calls, send birthday and greeting cards to celebrate patients’ milestones.
- Communication: Answer phones, record detailed messages, and relay information to the appropriate staff.
- Insurance & Scheduling: Verify insurance via phone or online, collect co-pays, and assist with follow-up or referral appointments.
- Patient Support: Escort patients to exam rooms, ensuring their comfort and well-being.
- Clinical Support & Reports: Support HEDIS initiatives, monitor hospitalizations, and report on relevant metrics.
- Customer Service & Feedback: Present surveys during check-out and escalate issues to ensure immediate service recovery.
- Team Participation: Engage in daily and weekly huddles to share patient updates.
- Transportation Coordination: Manage transportation logistics, including Uber/Lyft scheduling, medication, and grocery deliveries, and address driver-related challenges.
Additional Responsibilities
- Maintain patient confidentiality and privacy of medical records
- Review and verify patient information for accuracy and completeness
- Transmit correspondence via mail, email, or fax
- Perform other duties as assigned at the discretion of management
Knowledge, Skills & Abilities
- Exceptional customer service mindset with a passion for helping others 😊
- Working knowledge of medical insurance and EMR systems
- Familiarity with ChenMed’s products, policies, and standards
- Proficient in operating phones, computers, and software applications
- Excellent communication skills, both verbal and written
- Strong listening and attention to detail
- Positive, professional attitude
- Competency in Microsoft Office Suite (Excel, Word, Outlook)
- Willingness to travel locally up to 10% 🚗
- Fluency in English and Vietnamese (spoken and written) 🗣️
Education & Experience Requirements
- High school diploma or equivalent required
- Graduation from an accredited Medical Assistant program preferred
- At least 1 year of experience in a healthcare setting required
- BLS for Healthcare Providers certification preferred
Compensation & Benefits
The pay range for this position is $14.30 - $20.42 per hour. Actual compensation is determined by experience, education, location, and other factors. The role may also include bonuses or commissions.
