Position Overview: Medical Receptionist (Care Facilitator) 🎉
The Medical Receptionist, also known as a Care Facilitator, is often the first point of contact for our patients, serving as a patient advocate who provides outstanding customer service. This role involves checking patients in/out, administrative support, and building trusting relationships with patients.
Essential Job Duties & Responsibilities
- Patient Interaction: Greet, check-in, and check-out patients, ensuring a welcoming environment. Conduct lobby checks for organization and cleanliness.
- Schedule Management: Serve as the gatekeeper for PCP and specialist schedules, ensuring that top patients are scheduled every 13 days.
- Administrative Support: Use computer systems to update patient info, print forms, respond to emails, and prepare new patient packets. Ensure contact info is accurate.
- Patient Engagement: Make “love” calls, send birthday and greeting cards to celebrate special occasions.
- Communication: Answer phones, take detailed messages, and relay information clearly to clinical staff.
- Insurance & Appointments: Verify insurance, collect copays, and assist with scheduling follow-ups and specialist referrals.
- Patient Comfort & Support: Escort patients to exam rooms, ensuring their comfort and well-being.
- HEDIS & Reporting: Act as the HEDIS champion by providing visibility on scheduled patients and reporting hospitalizations and census data.
- Customer Service & Feedback: Present customer satisfaction surveys, escalate issues, and participate in team huddles.
- Transportation Coordination: Manage transportation logistics, including Uber/Lyft rides, medication and grocery deliveries, and handling behavioral challenges.
Additional Responsibilities
- Maintain confidentiality of patient information and records
- Review and verify patient and appointment details for accuracy
- Transmit correspondence via mail, email, or fax
- Perform other duties as assigned or modified by management
Knowledge, Skills & Abilities 💡
- Exceptional customer service skills and a passion for serving others
- Knowledge of medical insurance and electronic medical records (EMR) systems
- Familiarity with ChenMed’s products, services, policies, and procedures
- Proficiency with phones, computers, and basic IT systems
- Professional and courteous communication with staff and patients
- Strong attention to detail and accuracy in reports and data
- Excellent verbal and written communication skills
- Active listening skills and a positive attitude
- Proficiency in Microsoft Office applications (Excel, Word, Outlook)
- Willingness to travel locally up to 10%
- Fluency in English and Vietnamese (spoken and written)
Educational & Experience Requirements 🎓
- High school diploma or equivalent required
- Graduation from an accredited Medical Assistant program preferred
- At least 1 year of experience in a medical clinic or similar environment required
- BLS certification for Healthcare Providers is preferred
Pay Range 💰
${14.3} – ${20.42} per hour
The actual compensation depends on experience, education, location, and other factors. Position may be eligible for bonuses or commissions.
