Position Overview: Medical Receptionist (Care Facilitator)
The Medical Receptionist is often the first point of contact for our patients, serving as their advocate and ensuring they receive outstanding service. You will manage patient check-ins and outs, provide administrative support, and build trusting relationships through every interaction.
Essential Job Duties & Responsibilities
- Patient Interaction: Greet, check-in, check-out, and schedule appointments, while maintaining an organized and clean lobby.
- Schedule Management: Serve as gatekeeper for PCP and Specialist schedules, ensuring top patients are scheduled every 13 days.
- Administrative Tasks: Use computer systems to update patient info, print forms, respond to emails, and prepare new patient packets. Ensure contact info accuracy.
- Patient Engagement: Conduct "love" calls, and send birthday and greeting cards for special occasions.
- Communication: Answer calls, take detailed messages, and relay information clearly to clinical staff.
- Insurance & Scheduling: Verify insurance, collect copays, and assist with follow-up or specialist appointments.
- Patient Comfort: Escort patients to exam rooms and ensure their well-being.
- HEDIS & Reporting: Monitor and report on HEDIS metrics, hospitalizations, and other relevant data.
- Customer Service: Present surveys during checkout and escalate concerns for immediate resolution.
- Team Contributions: Participate in daily and weekly huddles, sharing important patient information.
- Transportation Coordination: Manage transportation logistics, including Uber/Lyft rides and medication/grocery deliveries.
Additional Responsibilities
- Maintain confidentiality of patient information and medical records.
- Review and verify patients' personal and appointment details.
- Transmit correspondence via mail, email, or fax.
- Perform other duties as assigned or modified by management.
Knowledge, Skills & Abilities
- Exceptional customer service and passion for serving others 😊
- Knowledge of medical insurance and EMR systems
- Familiarity with ChenMed’s products, services, policies, and procedures
- Proficient in operating phones, computers, and basic IT systems 💻
- Professional and courteous communication skills
- Attention to detail and accuracy in data entry
- Strong listening and verbal/written communication skills
- Positive, professional attitude
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Willingness to travel up to 10% regionally
- Fluency in both English and Vietnamese (spoken and written) 🗣️
Education & Experience Requirements
- High school diploma or equivalent required 🎓
- Graduate of a recognized Medical Assistant program preferred
- Minimum 1 year of experience in a medical clinic or similar environment
- BLS certification (Healthcare Providers) preferred
Compensation
The hourly pay range is $14.30 - $20.42. Final compensation depends on experience, education, location, and other factors. The position may be eligible for bonuses or commissions.
