Position Overview

The Medical Receptionist (Care Facilitator) is often the first touchpoint for our patients, serving as a patient advocate and providing exceptional customer service. This role involves checking patients in and out, offering administrative support, and building trusting relationships with our patients.

Note: Candidates must be bilingual in English and Vietnamese, with fluency in both written and verbal communication.

Essential Job Duties & Responsibilities

  • Patient Interaction: Greet, check-in, check-out, schedule appointments, and ensure lobby organization and cleanliness.
  • Schedule Management: Act as gatekeeper for PCP and Specialist schedules, ensuring Top 40 patients are scheduled every 13 days.
  • Administrative Tasks: Use computer systems to update patient information, print forms, respond to emails, and prepare New Patient packets.
  • Patient Engagement: Make "love" calls, send birthday and greeting cards for special occasions.
  • Communication: Answer phones, take accurate messages, and provide clear information about clinical personnel.
  • Insurance & Payments: Verify insurance, collect copays, and assist with scheduling follow-ups and referrals.
  • Patient Comfort: Escort patients to exam rooms and ensure their wellbeing.
  • Quality & Reporting: Serve as HEDIS champion, monitor hospitalizations, and report relevant data.
  • Customer Service & Feedback: Present surveys during checkout and escalate issues when necessary.
  • Team Participation: Engage in daily and weekly huddles, sharing patient updates.
  • Transportation Coordination: Manage driver schedules, medication and grocery deliveries, and ride services like Uber/Lyft.

Additional Responsibilities

  • Maintain confidentiality of patient information and medical records.
  • Review and verify personal and appointment details for accuracy.
  • Transmit correspondence via mail, email, or fax.
  • Perform other duties as assigned or modified at the manager’s discretion.

Knowledge, Skills & Abilities

  • Exceptional customer service skills and passion for helping others 😊
  • Working knowledge of medical insurance and electronic medical records (EMR)
  • Familiarity with ChenMed products, policies, and procedures
  • Proficiency in operating phones, computers, and basic IT systems 💻📞
  • Professional and courteous communication with staff and patients
  • Detail-oriented to ensure data accuracy ✅
  • Strong verbal and written communication skills 🗣️✍️
  • Active listening and positive attitude
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook)
  • Willingness to travel locally up to 10%
  • Fluency in English and Vietnamese (spoken and written)

Education & Experience

  • High school diploma or equivalent required
  • Graduation from a recognized Medical Assistant program preferred
  • At least 1 year of experience in a medical clinic or similar setting required
  • BLS certification for Healthcare Providers preferred

Compensation & Benefits

The pay range for this position is $14.30 - $20.42 per hour. Final compensation will depend on experience, education, and location. This role may be eligible for bonuses or commissions.
