Position Overview
The Medical Receptionist (Care Facilitator) serves as one of the first contacts for patients, acting as an advocate who provides outstanding customer service. Responsibilities include checking patients in and out, administrative support, and ensuring a positive, welcoming experience.

Essential Job Duties & Responsibilities
- Patient Interaction: Greet, check-in, check-out, schedule appointments, and maintain lobby organization and cleanliness.
- Scheduling Coordination: Manage schedules for PCP and specialists, ensuring top priority patients are seen every 13 days.
- Administrative Support: Use computer systems to update patient info, print forms, respond to emails, and prepare new patient packets.
- Patient Engagement: Make “love” calls, send birthday and greeting cards to celebrate milestones.
- Communication: Answer phones, take accurate messages, and relay information about clinical staff to patients.
- Insurance & Payments: Verify insurance, collect copays, and assist with follow-up and referral scheduling.
- Patient Comfort & Care: Escort patients to exam rooms and ensure their well-being.
- Quality & Reporting: Support HEDIS initiatives, report hospitalizations, and monitor census data.
- Patient Feedback: Present satisfaction surveys and address concerns to improve service recovery.
- Team Participation: Contribute to daily huddles, share relevant patient details, and coordinate transportation as needed.
Additional Responsibilities
- Maintain confidentiality of patient information and medical records.
- Review and verify patient and appointment details for accuracy.
- Transmit correspondence via mail, email, or fax.
- Perform other duties as assigned or modified by management.
Knowledge, Skills, and Abilities
- Customer Service: Exceptional skills and passion for serving others.
- Technical Knowledge: Familiarity with medical insurance, EMR systems, and Microsoft Office Suite.
- Communication: Ability to communicate professionally and courteously in English and Vietnamese (verbal and written).
- Attention to Detail: Ensuring accuracy in reports and data entry.
- Listening Skills: Demonstrated strong active listening abilities.
- Attitude: Positive, professional, and adaptable.
- Travel: Willing to travel regionally up to 10%.
Education & Experience Requirements
- High school diploma or equivalent required.
- Graduation from a recognized Medical Assistant program preferred.
- Minimum 1 year of experience in a medical clinic or similar setting.
- BLS certification for Healthcare Providers preferred.
Compensation & Benefits
The hourly pay range for this position is $14.30 - $20.42. Final compensation depends on experience, education, location, and other relevant factors. The role may qualify for bonuses or commissions.
