Contract Administrator – Jersey City, NJ (Onsite) – Long Term Contract
Position Summary
The Contract Administrator provides vital administrative and operational support to the IDN Task Force by managing contract documentation, coordinating reviews across departments, and tracking approval workflows. This role ensures the efficient execution of confidentiality agreements (NDAs), supplier agreements, and consulting agreements through structured documentation control, internal coordination, and compliance tracking. While not involving commercial negotiations, this position plays a critical role in maintaining organized, accurate, and timely contract workflows.
Key Roles and Responsibilities
Contract Management & Documentation 📄
- Manage NDAs, supplier agreements, and consulting agreements
- Track contract status from initiation to completion
- Maintain executed contracts and version history
- Organize contract files and documentation systematically
- Monitor open items and notify stakeholders of pending approvals
Cross-functional Coordination 🤝
- Coordinate contract review processes with Legal, Finance, Trade, and Pricing teams
- Ensure departmental involvement before contract execution
- Follow up on pending reviews and approvals
- Assist with scheduling and documentation related to contracts
Compliance Tracking & Process Support ✅
- Update and maintain the contract tracker in real-time
- Monitor approval statuses and documentation completeness
- Support internal compliance procedures for contract handling
- Prepare contract status summaries for leadership when needed
Work Experience
- 2–5 years of relevant experience in administrative support, contract coordination, or operations preferred
- Open to junior to mid-level professionals (Associate to Manager)
- Experience in pharmaceutical, healthcare, or corporate environments preferred
- Familiarity with document management, contract tracking, or compliance workflows a plus
- Project coordination experience is desirable but not mandatory
Qualifications
- Strong organizational skills with high attention to detail
- Ability to manage multiple agreements simultaneously
- Comfortable collaborating with cross-functional teams
- Proficiency in Microsoft Outlook, Excel, Word, and PowerPoint
- Experience with Concur or similar expense and administration systems preferred
- Ability to handle confidential information appropriately
- Excellent written and verbal communication skills
- Bilingual in Korean is a plus
Education
- Associate or bachelor’s degree in Business Administration, Management, Healthcare Management, Life Sciences, or related fields
