International Patient Records Specialist - Hybrid Position in Boston, MA

Join our dedicated team at Dana-Farber Cancer Institute as an International Patient Records Specialist. This hybrid role offers a flexible schedule, combining four days onsite with one remote day, supporting international oncology patients through meticulous coordination and compassionate care.

Position Details

  • Work Arrangement: Hybrid (4 days onsite, 1 day remote)
  • Schedule: Monday - Friday, 8:00 am - 4:30 pm
  • Location: Residents must work within New England (MA, ME, NH, CT, RI, VT)

Key Responsibilities

  • Material Coordination: Arrange receipt of medical records, tissue samples, and imaging to support international patient visits.
  • Documentation: Use electronic tracking systems to document and monitor the retrieval of patient materials.
  • Follow-up: Monitor and follow up with patients, embassies, and hospitals regarding material statuses.
  • Team Collaboration: Work with the Oncology Nurse Director, Nurse Navigator, and Patient Program Managers to ensure seamless operations.
  • Patient Support: Assist patients with obtaining translated medical records and direct them to translation services as needed.
  • Communication: Provide regular updates to clinical and support staff on patient materials status.
  • Request Management: Respond to emails and manage requests for international patients, gathering detailed clinical information.
  • Problem Resolution: Independently resolve issues or escalate to supervisors when necessary.
  • Meetings & Updates: Participate in weekly review meetings, offering case updates.
  • Customer Service: Provide information, triage issues, and respond to inquiries in real time, recognizing emergencies and following protocols.
  • Quality & Compliance: Ensure adherence to clinical standards and procedures.
  • Flexibility & Engagement: Work with patients and facilities across different time zones, maintaining flexibility.
  • Performance: Strive to meet service levels and key performance indicators.
  • Training & Support: Assist in onboarding new staff and develop departmental materials.
  • Additional Duties: Perform other responsibilities as assigned.

Qualifications

  • Education: High school diploma required; Bachelor’s degree in health administration or related field preferred.
  • Experience: At least 1 year of administrative or customer service experience, preferably healthcare-related.
  • Knowledge: Medical terminology preferred.
  • Language Skills: Bilingual or multilingual skills required; Arabic fluency preferred.

Compensation & Equal Opportunity

The pay range for this role is $25.38/hr - $27.50/hr, based on market data, experience, and qualifications. For union positions, pay is determined by the Collective Bargaining Agreement.
