Position Details

Job Purpose
The General Affairs Coordinator is responsible for managing assets, business insurance, safety programs, office administration, and supporting management and staff to facilitate efficient daily operations.
Primary Duties & Responsibilities
Asset Management 🏢
- Coordinate all activities related to asset management
- Assist in analyzing asset requests for management approval
- Create systems of controls and monitor asset procedures
- Track project costs, compile reports, and close accounts post-project
- Maintain accurate records and update asset database regularly
- Create electronic files and ensure shared filing system accuracy
- Update monthly asset project reports for senior management
- Prepare quarterly capital spending reports for upper management
- Coordinate annual internal audits and report preparations
- Support asset investment reporting for the parent company
Business Insurance Administration 🛡️
- Coordinate activities related to business insurance programs
- Collaborate with insurance brokers to analyze coverage needs
- Prepare for annual insurance renewals
- Manage claims alongside insurance adjusters
- Maintain claims records and update loss run databases
- Process insurance premium payments
- Maintain and issue Certificates of Insurance (COI)
- Support annual insurance audits
Safety Administration 🦺
- Act as the corporate safety liaison across locations
- Implement safety training programs and procedures
- Maintain safety records according to guidelines
- Attend and represent at monthly safety meetings
- Administer the Fleet Safety Program and DMV Employer Pull Notice (EPN) Program
- Update driver’s license and insurance info for staff
- Provide workplace safety training and conduct inspections
- Assist HR with workers’ compensation claims & reports
- Research safety data and prepare compliance presentations
- Address safety-related legal issues with management
Project Management 📋
- Develop detailed project plans and schedules
- Coordinate resources and third-party vendors
- Ensure projects are completed on time, within scope and budget
- Manage project scope, schedule, and cost changes
- Maintain comprehensive project documentation
- Report progress and escalate issues as necessary
Office Administration 🖥️
- Provide administrative support to management and staff
- Conduct research and prepare reports and presentations
- Maintain filing systems and electronic records
- Back-up digital files securely
- Handle payments and billing processes accurately
- Oversee office equipment and facilities maintenance
- Complete and file business and government forms
- Manage sensitive information confidentially
- Assist with company events and special projects
- Perform additional duties as assigned
Required Knowledge & Skills
- Strong understanding of office procedures, business insurance, safety, and project management
- Excellent organizational skills with keen attention to detail
- Effective multi-tasking and time management abilities
- Proficiency in office software and record-keeping systems
