Key Duties & Responsibilities 🎯

  • Document Management: Store and organize documents and files efficiently.
  • Data Entry & Preparation: Prepare lead lists, meeting minutes, transcribe audio recordings, and organize research notes.
  • Product & Sample Research: Research products, purchase goods, and secure samples.
  • CRM & Campaign Support: Store, update, and collect information for marketing and sales campaigns using a CRM system.
  • Financial Administration: Create and send statements or invoices, track payments, and record expenses.
  • Market & Industry Research: Gather data on trends, best practices, and publicly available information, then prepare reports for analysis.
  • Project Monitoring & Internal Communication: Oversee projects, organize company data, and facilitate internal communications.
  • Scheduling & Coordination: Manage team calendars, prevent scheduling conflicts, and ensure clients are prepared for meetings.
  • Travel & Itinerary Planning: Prepare travel itineraries and book hotels, rental cars, etc.
  • Communication & Outreach: Handle incoming calls, schedule appointments, and conduct informational inquiries.
  • Email Management: Reply to emails, follow up on correspondence, organize inboxes, and notify clients of important messages.
  • Ad hoc Tasks: Support additional tasks as needed to ensure team success.

Qualifications & Skills ✅

  • Minimum of 1 year experience as a Virtual Assistant
  • Excellent communication skills via phone, email, and instant messaging
  • Strong organizational and time management abilities
  • Willingness to work during graveyard shifts
  • Technologically savvy with knowledge of desktop sharing, cloud services, and VoIP
  • Proficient in word processing and spreadsheets (e.g., MS Office)
  • Familiar with online calendar tools (e.g., Google Calendar)
  • Bilingual proficiency in English and Cantonese at an expert level
  • Proactive attitude and eagerness to learn and grow

Technical Requirements ⚙️

  • USB Headset with Noise Cancellation
  • Webcam in working condition
  • Computer with at least 1.8 GHz processor and 4GB RAM
  • Main Internet Connection: minimum 25 Mbps cable speed
  • Backup Internet: minimum 10 Mbps

Work Schedule & Location 📅🌎

This position follows US work hours, approximately 20-40 hours per week. It is a remote role, allowing you to work from anywhere.
