Key Duties & Responsibilities 📝

Patient Care & Administrative Support

  • Greet patients and serve as the friendly face of the Health Center 😊
  • Verify upcoming appointments via NextGen Enterprise Practice Management (EPM)
  • Update and verify patient information in NextGen EPM
  • Check and resolve system alerts in NextGen EPM
  • Scan and store.Documents like IDs, insurance cards, applications into NextGen ICS 📁
  • Ensure financial screening, program enrollment, and verification are complete at check-in
  • Enroll or renew patient programs such as Family PACT, MHLA, CHDP, EWC, PE, SFDP, or Self-Pay
  • Review and explain registration forms to patients
  • Verify or set up insurance in NextGen EPM
  • Collect outstanding balances and co-pays
  • Manage patient flow and communication among staff and patients
  • Assist in scheduling, rescheduling, and canceling appointments ⏰
  • Provide patient directions regarding medications and check-in procedures
  • Promote health center services and solicit donations from patients
  • Manage clinic environment: keep waiting areas clean, answer phones, handle voicemails 📞
  • Coordinate with staff to ensure smooth patient operations
  • Perform cashiering duties including posting charges and issuing receipts 💵
  • Handle opening and closing tasks such as cash reconciliation and deposits
  • Monitor clinic supplies and forms, including inventory replenishment
  • Shred unnecessary PHI and fee tickets daily 🔒
  • Participate in staff meetings and clinic training
  • Assist with data collection for clinic performance metrics
  • Address patient concerns and provide feedback to improve operations
  • Perform any additional duties as assigned by supervisor(s)

Position Summary 📌

At APHCV, all Front Office Staff play a vital role in the revenue cycle, enhancing the management and collection of patient service revenue. We are committed to delivering patient-centered care across all touchpoints, from the Call Center to Medical Interpreters and beyond.

This role supports a multidisciplinary team, ensuring culturally and linguistically sensitive service, reducing patient wait times, and maximizing patient satisfaction. Accurate collection of demographic and financial information at each visit is essential.

All employees are expected to respond appropriately during emergencies and adhere to organizational policies. Our organization is tobacco-free.

Qualifications & Requirements ✅

  • High School Diploma or equivalent
  • Minimum 1 year of experience in front/back clinic functions, patient scheduling, and registration
  • Ability to lift up to 25 lbs
  • Availability to work Saturdays and evenings as scheduled
  • Proficiency in English (written and verbal) and targeted language skills

Preferred Qualifications ⭐

  • Knowledge of health programs such as FPACT, EWC, BCEDP, Medi-Cal, Medicare
  • Exceptional customer service skills
  • Proficiency with PC/MAC, Microsoft Office, NextGen, Intranet, and Internet
  • Strong prioritization skills to complete assignments timely
