About The Role 🎯

We are looking for a highly skilled Executive Assistant to the CEO who will provide crucial administrative, communication, and bilingual support (Mandarin-English). This role is essential for facilitating effective cross-cultural communication and aligning our global business strategies.

You will act as a trusted partner in managing executive messaging, preparing presentation materials, and enabling smooth engagements across different time zones and functions.

Key Responsibilities 🔑

Executive Support & Communication

  • Provide direct administrative support to the CEO, including calendar management, meeting preparation, task follow-up, and communication handling.
  • Create PowerPoint presentations and executive messages aligned with company strategy and the CEO’s style for board meetings and internal communications.
  • Draft, review, and edit business correspondence in English, ensuring clarity, professionalism, and tone consistency.
  • Communicate in both English and Mandarin, facilitating smooth and accurate business exchanges.
  • Anticipate needs to streamline CEO workflow, manage priorities, and ensure timely delivery of key tasks.

Mandarin–English Interpretation & Translation 🔄

  • Assist with Mandarin–English communication, ensuring clarity and cultural appropriateness.
  • Support occasional interpretation requests, maintaining accuracy and intent alignment.

Cultural & Strategic Advisory 🌐

  • Brief the CEO on US business etiquette, negotiation practices, and cultural nuances to optimize communication.
  • Develop and maintain terminology glossaries across various domains (business, legal, technical, financial) for message consistency.

Meeting & Information Management 📝

  • Coordinate meeting logistics, gather pre-read materials, prepare briefing notes, and track action items.
  • Handle sensitive information with confidentiality, controlling access according to company policies.

Qualifications & Skills ✅

  • Proven experience supporting senior executives or CEOs in dynamic, high-growth environments.
  • Native English speaker with deep understanding of US cultural and communication standards; fluent in spoken Mandarin.
  • Expertise in PowerPoint with the ability to craft impactful and strategic presentations.
  • Exceptional business writing skills focused on clarity, tone, and storytelling.
  • Bachelor’s degree in Business, Communications, Translation/Interpretation, or related fields, or equivalent experience.
  • Strong organizational skills, sound judgment, and ability to handle multiple priorities discreetly.
  • Proficiency with Microsoft 365 suite.
  • High integrity and confidentiality in handling sensitive information.

Benefits & Compensation 💼

Salary range: $80,000 – $100,000 annually + bonus (based on experience).
