We’re seeking a highly capable, resourceful, and proactive Executive Assistant based in New York/New Jersey to empower our CEO at a fast-moving, innovative startup. What You’ll Do:
Executive Operations & Priority Management
- Strategic Partnering: Collaborate with the CEO to plan, prioritize, and track key initiatives.
- Proactive Support: Anticipate needs, identify roadblocks, and prepare the CEO for meetings, decisions, and follow-ups.
- Calendar Optimization: Manage and enhance the CEO’s calendar to maximize value.
- Process Streamlining: Develop lightweight workflows for efficient communication across teams.
Communication & Stakeholder Coordination
- Liaison Role: Act as the main point of contact between the CEO, internal teams, investors, partners, and external stakeholders.
- Content Management: Draft, review, and oversee executive communications and presentations.
- Information Flow: Ensure clear, timely communication between the CEO and key departments like Product, Sales, Marketing, HR, and Operations.
- Representation: Maintain a deep understanding of company priorities to represent the CEO’s point of view with alignment and discretion.
Operational Support & Meeting Effectiveness
- Meeting Coordination: Set agendas, prepare materials, record decisions, and drive action item accountability.
- Event & Travel Planning: Coordinate logistics for travel, offsites, leadership gatherings, and company initiatives.
- Productivity Tools: Implement systems to enhance productivity and visibility into commitments and timelines.
Project & Initiative Ownership
- Leadership & Support: Lead and assist cross-functional projects and special initiatives directly for the CEO.
- Analysis & Insights: Conduct research, gather information, and prepare insights for decision-making.
- Process Improvement: Identify organizational gaps and proactively suggest solutions.
Requirements: What You’ll Bring
- Experience: 5+ years supporting C-level executives, preferably in a startup or high-growth environment.
- Organization Skills: Exceptional ability to manage competing priorities in a fast-paced setting.
- Communication: Outstanding written and verbal skills in both English and Hebrew.
- Emotional Intelligence: High discretion and adeptness in navigating complex interpersonal dynamics.
- Problem-Solving: Confident and proactive mindset to take initiative without waiting for direction.
- Tools Proficiency: Mastery of Google Workspace, Microsoft Office, and project management platforms.
- Educational Background: Bachelor’s degree preferred, but proven experience and excellence are deemed most important.
