🚀 Job Opening: Executive Assistant (Bilingual - Spanish)

Software Guidance & Assistance, Inc. (SGA) is seeking a dedicated Bilingual Executive Assistant (Spanish & English) for a 6+ month contract (with potential renewal or conversion) with a premier investment management client in New York, NY. The role involves working a hybrid schedule with 4 days onsite per week.

Responsibilities

  • Manage daily calendars for senior leaders, demonstrating flexibility and problem-solving skills to handle last-minute schedule changes.
  • Arrange and reserve conference rooms, catering, audio/video services for meetings and conferences.
  • Coordinate travel arrangements and submit expense reports efficiently using Concur.
  • Drive key team activities such as meetings, strategy sessions, conferences, ordering supplies, and social events.
  • Handle tasks proactively and efficiently to ensure seamless coverage for all supported staff.
  • Build and maintain strong business relationships with executives and administrative staff across the organization.
  • Complete ad hoc administrative requests with attention to detail and timeliness.

Required Skills & Qualifications

  • 5+ years of experience supporting senior executives in fast-paced, high-energy corporate or family office environments.
  • Bilingual fluency in Spanish — written, spoken, and business acumen; essential for interacting with Latin America Markets team members.
  • Proven ability to manage multiple priorities independently, ensuring accuracy and efficiency under tight deadlines.
  • Strong communication skills — excellent verbal and written, producing succinct, polished correspondence.
  • Fluent in Spanish with comfort in cross-regional communications.
  • Flexible, responsive, and willing to monitor and manage communications outside of regular hours, including weekends if needed.
  • Advanced proficiency in Microsoft Office Suite (Word, PowerPoint, Excel) with keen attention to presentation quality.
  • Experience with Concur Travel & Expense management and American Express Travel — booking, reconciliation, and expense reporting.
  • Ability to adapt to various workstyles and personalities, including high-energy executives.
  • Professionalism, discretion, and proactive problem-solving skills in confidential and dynamic environments.
