Your Role & Responsibilities 🎯

As the Executive Assistant to the COO, you will be vital in ensuring smooth daily operations through the following duties:

  • Administrative Support: Assist with scheduling, event coordination, travel arrangements, and expense reports for the COO and vice presidents.
  • Calendar Management: Own and coordinate the COO’s calendar—schedule meetings, resolve conflicts, and anticipate departmental needs.
  • Organizational Assistance: Serve as the company’s lead travel planner and manage the vehicle fleet.
  • Document & Communication Handling: Revise documents, screen calls and correspondence, and answer the COO’s phone when needed.
  • Visitor & Staff Interaction: Greet visitors professionally and provide hospitality within the COO’s office.
  • File Management: Maintain and update all departmental files with a comprehensive filing system.
  • Additional Duties: Perform any other responsibilities assigned by the COO.

Qualifications ✍️

  • Minimum age of 18 at start of employment
  • Bachelor’s Degree or equivalent education
  • At least 3 years of office experience as an executive assistant or related role
  • Experience managing extensive documents, files, and calendars
  • Strong writing, editing, and proofreading skills
  • Bilingual in English and Spanish is a plus
  • Flexibility to work evenings, weekends, holidays, and extended hours
  • Ability to travel as needed
  • Physical requirements: ability to access various ballpark areas and lift up to 25 pounds
  • Successful completion of background checks and pre-employment requirements

Compensation & Benefits 💰🎉

The hourly wage for this full-time role between $38.00 and $42.00, contingent upon your experience and qualifications, adhering to California pay transparency laws.
