Role Overview: Executive Assistant & Office Manager

The Executive Assistant & Office Manager will handle the calendars, travel arrangements, and communications for 3-4 members of our leadership team, as well as oversee the smooth operation of our Lisbon office. We seek a proactive, organized professional capable of anticipating needs, managing multiple priorities, and upholding discretion and professionalism in executive and office management duties.

What You’ll Be Doing 🛠️

  • Manage comprehensive office services including reception, shipping, mail, kitchen supplies, office provisions, maintenance, and general duties;
  • Coordinate with property management, security, janitorial services, internet, AV, and vendors to maintain a clean, functional workspace;
  • Serve as the primary contact for maintenance, mail, shipping, supplies, equipment, bills, and errands;
  • Greet clients and visitors, promptly addressing or directing inquiries;
  • Assist in organizing, scheduling, and executing onsite events;
  • Handle incoming and outgoing calls (internal/external);
  • Support leadership team members' calendars by:
    • Scheduling meetings, appointments, conference calls, and ensuring alignment with priorities;
    • Anticipating and resolving scheduling conflicts;
    • Arranging travel logistics, including flights and accommodations;
    • Preparing meeting agendas, briefing materials, and documentation;
    • Managing communication with stakeholders and internal/external stakeholders;
    • Supporting expense reports, reimbursements, and financial tasks;
    • Maintaining strict confidentiality at all times.

What You Need to Have ✅

  • Availability to work at our Lisbon office five days a week (typically 9 am to 6 pm);
  • 3+ years of experience as an Executive Assistant and/or Office Manager;
  • Excellent verbal and written communication skills in Portuguese and English;
  • Proficiency in office management and scheduling software like Google Calendar, Gmail, and Google Meets.

Nice to Have 🌟

  • Background in consulting (law firms, banks) or startups;
  • Experience with tools such as Zip, Concur, Notion, Slack, and Navan.

Compensation 💰

€33,245 - €52,242 per year
*This range includes base, variable, and equity components.

Compensation is adaptable based on talent and impact. We recognize top performers with adjustments to align rewards with contributions.

Job titles may span multiple levels; actual pay depends on skills, experience, and market factors. Components listed include base salary, incentives, and stock options where applicable. Compensation details are subject to change.
