The Hebrew Educational Alliance, a warm and active synagogue community dedicated to infusing lives with Jewish meaning and purpose, is seeking a dedicated Executive Assistant to support our leadership and administrative functions.

Position Overview 🎯

The Executive Assistant will report directly to the CEO, providing essential support to our Clergy and managing a variety of office functions. This role requires a strong multitasker, an inventive problem solver, and a discreet professional who can effectively engage with staff, congregants, Board Members, and the public.

As a front-line representative of our congregation, professionalism, excellent judgment, and organizational skills are paramount.

Core Responsibilities 📝

  • Administrative Support: Manage schedules, appointments, meetings, and overseeing CRM follow-up; greet visitors and determine access.
  • Communication Management: Answer phones, direct calls, and handle correspondence, including member communications and appreciation notes.
  • Board Support & Policies: Assist in preparing for Board meetings and oversee administrative policies.
  • Office Operations: Manage supplies, assist administrative staff, and maintain confidential documents and shared databases.
  • Financial & Data Analysis: Generate reports on membership, fundraising, demographics, and generate analyses using ShulCloud and Excel.
  • Large Project Coordination: Lead campaigns such as Purim gift deliveries, manage Yizkor book processes, coordinate High Holidays logistics, and support B'nai Mitzvah preparations.

Qualifications & Skills 🌟

  • High school diploma required; bachelor’s degree or relevant certifications preferred.
  • Minimum of five years administrative experience, with senior support preferred.
  • Proficiency in Microsoft Office Suite; familiarity with Microsoft 365 and mail merge systems.
  • Experience with CRM systems, especially ShulCloud, is highly desirable.
  • Event planning and Jewish organizational experience considered an asset.
  • Understanding of Jewish rituals, customs, and holidays is beneficial.
  • Exceptional organizational, analytical, and communication skills.
  • Ability to interact positively with diverse personalities with professionalism and a friendly demeanor.

Work Hours & Benefits 🕒

  • Standard hours: Monday 8:30 AM – 4:30 PM, Friday 8:30 AM – 3:00 PM.
  • Occasional support for weekend or evening events, especially around Jewish holidays.
  • Employment: Full-time position with competitive salary between $45,000 and $65,000, based on experience.
  • Benefits include health, dental, and vision insurance, paid vacation and PTO, and participation in our 401(k) plan.
