About the Job
We’re seeking a detail-oriented and proactive Event Assistant to support our Global Event Manager in orchestrating large-scale international events. Your role will be crucial in executing world-class forums, conferences, and corporate gatherings—covering logistics, vendor coordination, budgeting, and documentation.
What You’ll Do
Be at the Heart of Global Events 🌍
Support the planning and delivery of impactful international events attended by leaders, innovators, and partners worldwide. Your behind-the-scenes efforts will ensure memorable and seamless experiences.
Remote Flexibility & Location
This role is remote, with a preference for candidates based in the EU due to logistics and time zone considerations. However, we welcome exceptional candidates from around the globe.
Multi-Faceted Experience
Gain exposure in vendor relations, budget management, calendar coordination, and reporting—enhancing your skills across logistics, finance, and international collaboration.
Responsibilities

Event & Logistics Support
- Assist in planning and executing international events from start to finish.
- Coordinate with venues, vendors, and stakeholders to deliver services on time.
- Monitor timelines to ensure logistics align with event objectives.

Finance & Budget Management
- Track and manage event expenses accurately.
- Process invoices and vendor payments.
- Support budget reconciliation and comprehensive reporting.

Administrative Support
- Manage calendars, schedule meetings, and coordinate travel.
- Organize internal and external meetings, ensuring stakeholder alignment.

Documentation & Reporting
- Prepare reports, presentation decks, and event documentation.
- Maintain contracts, itineraries, and files in shared systems.

Communication
- Act as a liaison between the Global Event Manager, internal teams, and vendors.
Qualifications
- 3+ years experience in executive assistance, corporate events, or finance roles.
- Willingness and ability to travel as needed.
- Exceptional organizational skills with the ability to manage multiple projects.
- Strong communication and interpersonal skills, especially under pressure.
- Solid understanding of budgeting, invoicing, and expense tracking.
- Proficiency with Google Suite, Microsoft Office, and tech-savviness.
- Fluency in English and Spanish (spoken and written).
- Preferred: Based in the EU.
