The Harold Grinspoon Foundation is seeking a highly organized and mission-driven Digital Production Coordinator to manage media projects, ensure smooth operations, and support innovative content initiatives for PJ Library® and the broader HGF community.
Position Overview
The Digital Production Coordinator plays a vital role in project managing media production and operational workflows within the PJ Library® Digital Content team. Reporting to the Director of Digital Content, this individual will keep projects on schedule and within budget, facilitating collaboration among internal teams and external contributors across all department projects.
As part of the Digital Content team, you'll work closely with the Director and partner with the Social Media Editor to support digital content creation and publication. Your responsibilities encompass blog and website content management, podcast production for PJ Library Presents, departmental collaboration, project management, and social media support.
Key Responsibilities
Blog and Website Publication 📝
- Manage project processes using Wrike, setting reminders and following up with contributors.
- Supervise web production timelines, including drafting, editing, and publishing blog posts via platforms like Webmaster.
- Coordinate with external copy editors to ensure drafts are reviewed within deadlines.
- Audit upcoming holiday content for relevance, removing duplicates and outdated content.
- Conduct quality assurance on videos and blog posts for typos, broken links, and metadata accuracy.
- Ensure holiday-related content is live at least one month prior to each holiday.
Podcast Production 🎙️
- Track production timelines and milestones in Wrike.
- Upload final episode files to distribution systems, adding notes and tags, and verifying formatting.
- Lead quality assurance reviews on raw mixes, ensuring correct pronunciation, script compliance, and accurate name usage.
Interfacing with HGF Departments 🤝
- Manage project requests for social media support and multimedia production across the foundation.
Departmental Project Management 📋
- Guide projects from conception to completion, ensuring timely delivery within scope and budget.
- Identify business requirements and involve stakeholders to define project scope and technical feasibility.
- Take detailed meeting notes, distribute promptly, and record key information in Wrike.
- Drive efficiencies by collaborating with the Director to enhance processes and systems.
- Support team members and vendors in meeting deadlines through follow-up and coordination.
- Coordinate with vendors, maintain paperwork, and oversee payment processes.
Social Media Support 📱
- Analyze social media metrics and update the HGF Slack channel weekly.
- Compile easy-to-understand slide decks showcasing top-performing content for staff review.
Ideal Candidate Profile 🌟
- Highly organized with attention to detail and flexibility.
- Previous experience as an executive assistant, project manager, or production assistant.
- Proactive problem solver with excellent communication and organizational skills.
- Familiarity with Meta Business Suite, social media platforms (Instagram Reels, BlueSky), and analytics tools.
- Experience with Wrike or similar project management software preferred.
- Ability to manage multiple large projects simultaneously.
- Committed to diversity and inclusion in the workplace.
- Comfortable with Jewish subject matter and basic Hebrew pronunciation.
- Passionate about enhancing Jewish family experiences through innovative channels.
Note: This position does not involve content creation but focuses on processes, organization, and project management.
Location & Compensation 💼
This role is fully remote within the U.S. or hybrid with options in New York City or Agawam, MA. Hybrid employees are expected onsite 60% of the time, with availability during Eastern Time (ET) business hours.
Salary: \$58,000 – \$68,000 annually, commensurate with experience.
