Customer Support Specialist – Job Description

Position Summary
We are seeking a detail-oriented and customer-focused individual to support daily operations and maintain high customer satisfaction. This role acts as a key liaison between customers, sales, and internal departments to facilitate seamless order processing and prompt communication. 🤝
Essential Duties and Responsibilities
- Respond to customer inquiries via phone and email in a timely and professional manner
- Process sales orders, purchase orders, and returns accurately within the system
- Coordinate with warehouse and shipping teams regarding order status and delivery schedules
- Communicate product availability, lead times, and pricing information
- Resolve customer concerns and escalate issues when necessary
- Maintain accurate customer records and documentation
- Assist the Sales team with order tracking and account support
- Prepare reports related to order status, backorders, and customer requests
- Support billing inquiries and coordinate with Accounting as needed
Qualifications
- Bachelor’s degree preferred; equivalent work experience will be considered
- Strong verbal and written communication skills in English and Japanese 🌏
- High attention to detail and strong organizational skills
- Ability to multitask in a fast-paced environment
- Proficiency in Microsoft Office (Excel, Outlook, Word)
- Experience with ERP or order management systems preferred
- Prior customer service or administrative experience is a plus
Working Conditions
- Full-time, onsite position 🏢
- Standard business hours (8AM – 5PM)
- Office environment with frequent coordination with warehouse operations
