About the Role 🌟
The Coordinator will be a vital member of our Global Partnerships team, bringing agility, creativity, and organization to support partnership activations and day-to-day operations. This position offers a unique chance to grow within a professional sports organization, handling a mix of traditional executive support, game day operations, and cross-departmental projects.
Key Responsibilities 📝
- Executive Support: Manage complex calendars, schedule meetings, prepare agendas, materials, and follow-up summaries.
- Project Coordination: Assist with operational projects and cross-departmental initiatives to ensure seamless execution of partnership and organizational activities during events.
- Administrative Assistance: Support procurement, invoice processing, and maintain detailed digital records using CRM/Salesforce and KORE.
- Client & Partner Support: Prepare briefing materials, welcome kits, and manage communication with key clients and new partners.
Operations & Project Support 🤝
- Conduct market research to support team initiatives.
- Oversee conference room scheduling for meetings and events.
- Maintain records of partner relationships from initial contact to decision-makers, including communications and hospitality touches.
- Collaborate with internal departments like community, digital, legal, and finance to activate marketing programs for sponsors.
- Coordinate pre-game activities, including batting practice visits, tours, first pitches, game scripts, and giveaways.
- Gather proof of performance data for sponsorship assets, prepare recaps, and assist with renewals.
- Support VIP tours, stadium access, and prepare for sensitive areas.
- Perform other duties as assigned to support team success.
Qualifications & Skills 🎓
- Education: Bachelor's degree or equivalent experience.
- Experience: At least 2 years in partnership marketing within sports or entertainment industries.
- Technical Skills: Proficiency in Microsoft Office Suite; familiarity with Canva preferred.
- Core Competencies: Confidentiality, organizational excellence, problem-solving, and cross-department collaboration.
- Language Skills: Bilingual in Japanese or Spanish is a strong plus.
- Additional Requirements: Ability to work extended hours, including evenings, weekends, and holidays if needed.
