Job Brief
We are seeking a dynamic individual to assist in editing, monitoring, scheduling, and posting content across social media platforms, along with providing administrative support to our Director and team members. This role includes general office duties and engagement with our bilingual community to foster awareness and connection.
🚀 Specific Duties & Responsibilities
- Social Media Management: Schedule posts and events, monitor direct messaging in both Spanish and English.
- Content Proofing: Review the monthly newsletter In The Loop in both languages.
- Reception & Communication: Answer, screen, and forward non-specific switchboard calls in a friendly manner.
- Financial Records: Sort and record daily cash and check receipts.
- Administrative Support: Assist the Director with scheduling meetings, preparing communications, and other duties.
- Meeting Coordination: Format agendas, organize reference materials, and draft minutes for various committee meetings.
- Record Keeping: Maintain contact records of professional associates.
- Coverage & Backup: Support team members with agendas, materials, and minutes during meetings.
- Announcements & Outreach: Administer AFG Announcements and manage updates for the Public Outreach Coordinator’s communities.
- Vacation Coverage: Support the WSO postman in Spanish or English as needed.
- Member Support: Respond to routine inquiries from Spanish-speaking members with sensitivity.
- Technical Facilitation: Assist in supporting WSO tech-supported events.
- Office Tours: Conduct bilingual tours of our office facilities.
- Other Duties: Perform additional responsibilities as assigned.
🎓 Requirements
- Bilingual Proficiency: Ability to speak, read, and write in Spanish and English within a business context.
- Communication Skills: Effective verbal and written communication, demonstrating patience and compassion.
- Organizational Skills: Strong ability to prioritize multiple tasks efficiently.
- Interpersonal Skills: Excellent collaboration and relationship-building abilities.
- Problem-Solving Skills: Strong decision-making capabilities.
- Technical Knowledge: Basic familiarity with Microsoft 365 products (Word, Excel, PowerPoint, Outlook).
🎓 Education & Experience
- Associate degree with 6 months to 1 year related experience and/or training,
or
- High School diploma or GED with 2 years of relevant experience,
or
- Equivalent combination of education and experience.
🛠️ Working Environment & Physical Demands
The physical requirements include sitting, using hands/fingers, talking or hearing, walking, reaching, and occasionally standing, stooping, kneeling, crouching, or crawling. The role may require lifting up to 10 pounds. Vision abilities include close vision, peripheral vision, and focus adjustment.
The environment may involve exposure to moving mechanical parts, fumes, or airborne particles, with a typically moderate noise level. Reasonable accommodations are available for individuals with disabilities.
📍 Location & Schedule
This position is based at the Al-Anon Family Group Headquarters, Inc. World Service Office in Virginia Beach, VA. Remote work is not available.
Schedule: Monday to Friday, 8:00 am - 5:00 pm, with some weekends and evening hours throughout the year.
