About the Role 📝

The Client Support Coordinator is a vital member of our Operations Support Team, dedicated to advocating for clients and ensuring they receive the support they need. This role involves interacting with clients daily—managing correspondence, answering questions, and educating about our services. You'll assist with onboarding new clients, making sure they are well-informed and prepared for their care journey. As the primary connection between clients and Octave, you'll demonstrate care, compassion, and professionalism at every step.

Responsibilities include: 🎯

  • Manage client communications across various platforms with warmth and efficiency 📱
  • Serve as a resource for client education about Octave services 🧠
  • Assist with onboarding new clients, including paperwork and billing information collection 📄
  • Coordinate, communicate, and track medical records requests 📂
  • Collaborate with team members to explore process improvements and meet service standards 🤝
  • Embark every interaction with the mission to deliver extraordinary care 🤗

Required Qualifications ✅

  • Bilingual in Spanish and English

Preferred Qualifications 🌟

  • At least 1 year of experience in a high-touch customer service role
  • Minimum 2 years in an administrative capacity; healthcare experience is a plus 🏥
  • Experience handling medical records requests 📑
  • Product management skills (a plus)
  • Strong attention to detail in fast-paced environments 🔍
  • Excellent written and verbal communication skills ✍️
  • Proven ability to implement process improvements 🚀
  • Comfort with multitasking across multiple software systems 💻
  • Eager to learn, grow, and take on tasks outside predefined roles 🌱
  • Discretion and sensitivity in handling delicate situations 🤫

Physical & Work Environment Requirements 🚶‍♂️💻

  • Work Monday to Friday, 9am to 5:30pm EST, with occasional weekend coverage for PTO 🗓️
  • Prolonged sitting and working at a computer 🪑💻
  • Frequent communication via virtual meetings (Zoom, Google Meet) 🎥
  • Must handle information responsibly on company-provided equipment 🔐
  • Ability to occasionally lift up to 10 pounds 🏋️‍♀️
  • Legally eligible to work in the U.S. without sponsorship 🇺🇸

Compensation & Benefits 💵🎁

Octave is committed to pay equity and transparency. Salary ranges vary by geographic zone:

  • Zone 1: $23.51 - $26.49/hour (most states)
  • Zone 2: $25.87 - $27.50/hour (CO, HI, MD, RI)
  • Zone 3: $27.02 - $28.75/hour (AK, CA, CT, MA, NJ, NY, WA)
