What You’ll Do

Be the Voice and Advocate for Our Patients

  • Serve as the primary phone contact for patients across multiple clinic locations 📞
  • Provide compassionate, professional, and solution-focused support
  • Manage high call volumes while maintaining accuracy and quality
  • De-escalate concerns, ensuring patients feel heard and supported

Appointment Scheduling & Care Coordination

  • Schedule, reschedule, and confirm appointments efficiently
  • Guide patients with clear instructions regarding visits, documentation, and next steps
  • Coordinate communications among providers, clinics, pharmacies, and external partners
  • Support pre- and post-visit workflows including reminders and follow-ups

Patient Records & Documentation

  • Accurately update patient information in EHR systems 🗂️
  • Maintain confidentiality in accordance with HIPAA standards
  • Thoroughly document all patient interactions

Remove Barriers & Improve Access

  • Identify and address access challenges like scheduling conflicts
  • Guide patients to appropriate services or resources
  • Explain services and processes clearly to patients

Service Excellence & Performance

  • Deliver a high-quality patient experience on every call 😊
  • Meet performance metrics such as call volume, response time, and patient satisfaction
  • Collaborate with teams to streamline workflows and reduce delays
  • Engage in ongoing training and improvement initiatives

What You Bring

Required Qualifications

  • High school diploma or GED
  • At least 2 years of experience in a high-volume call center or customer service (healthcare, banking, hospitality, retail)
  • Bilingual in English and Polish 🗣️
  • Strong verbal communication and professional phone presence
  • Excellent interpersonal skills to build trust quickly
  • Organizational and multitasking capabilities
  • Comfortable with technology, including EHR systems (training provided)
  • Ability to thrive in a fast-paced, team-oriented environment

Preferred Qualifications

  • Experience in healthcare call centers or medical office settings
  • Experience with appointment scheduling and patient coordination
  • Familiarity with EHR systems
  • Handling escalated calls or challenging situations
