Our paralegals are essential members of Zirtual, serving as the main point of contact for their assigned clients and working independently alongside law firms. Each paralegal receives support from an Account Supervisor to foster collaboration, handle questions, and optimize workflows. 🚀

Role Overview

The Paralegal will deliver high-level professional support by managing tasks and projects for clients, ensuring timely execution and quality standards. They will act as the primary contact for clients, maintaining a deep understanding of each client’s needs and preferences.

Effective communication with clients and Account Supervisors is vital. Paralegals should be available during agreed-upon business hours and diligently log time, respond promptly, and keep client profiles current—adhering to Zirtual’s best practices for success.

Position Details

  • Type: Part-time, 10 hours/month (with potential increase)
  • Ideal Experience: Background in entity formation

Responsibilities

  • Managing intake, scheduling, and follow-up communication in English and Spanish 🗣️
  • Supporting daily operations in Clio Manage/Grow — including data entry, document organization, and task management
  • Handling client onboarding, making phone calls via RingCentral, and providing general administrative support
  • Preparing and filing basic business formation documents and nonprofit filings using provided templates
  • Developing and refining workflows, systems, and SOPs to enhance efficiency
  • Monitoring client progress to ensure a consistent, professional, and personable experience
  • Collaborating with attorneys to organize tasks, prioritize work, and support firm growth

Requirements

  • Fluent in Spanish with excellent written and verbal communication skills
  • Experience with Clio Manage/Grow or similar case/client management software; quick learner of new systems
  • Strong organizational skills, detail-oriented, and capable of managing multiple tasks independently
  • Comfortable interacting directly with clients in a professional, friendly manner
  • Experience with basic document preparation, data entry, and administrative duties
  • Ability to create, improve, and document workflows and SOPs
  • Reliable, self-motivated, and collaborative—ideal for a growing virtual environment
  • Experience in business formation or nonprofit filings is a plus, but not mandatory
  • Availability during business hours
  • Access to reliable home internet and a computer
  • Previous remote work experience preferred
