San Diego Hebrew Day School is seeking a detailed-oriented and strategic Business Office Manager to oversee the school’s financial operations, business affairs, and compliance processes. This pivotal role combines finance, accounting, and leadership skills to ensure the school’s financial health and operational excellence.
About the Role
Reporting directly to the Head of School, you will work closely with the Finance Committee, Board of Directors, and school leadership. This hands-on position involves collaboration with faculty, staff, and parents to support the school's mission and operations.
Key Responsibilities
Financial & Accounting Oversight 💰
- Implement online payment systems for tuition, extracurricular activities, summer camp, and other programs
- Manage tuition payments and financial aid applications, maintaining accurate records
- Maintain tuition receivables, fundraising records, and financial transactions promptly
- Supervise tuition collection and contribution pledges with timely follow-ups
- Handle accounts payable, negotiate with vendors, and process payments efficiently
- Prepare monthly financial statements and reports for the Finance Committee
- Collaborate on developing the annual budget with the Finance Chair and Head of School
- Track daily cash flow and perform monthly bank and credit card reconciliations
- Coordinate with outside accountants and auditors for annual financial statements
- Perform income and expense analysis per grade to assist in tuition and salary planning
- Assist in establishing tuition rates for the upcoming year
Human Resources & Payroll 🧩
- Oversee bi-monthly payroll processing with external providers
- Maintain and update employee records, contracts, and benefits
- Ensure compliance with employment laws and regulations at all levels
- Support the Employee Handbook and personnel policies
Facilities & Operational Management 🏢
- Oversee school insurance policies, facility repairs, and maintenance
- Manage janitorial and supply procurement to ensure smooth daily operations
- Coordinate the lunch program for seamless daily execution
- Implement security initiatives, oversee related grant funding, and ensure compliance
Community & Fundraising Support 🤝
- Assist with major fundraising campaigns, including charity events and the annual gala
- Serve as a main contact for parents concerning financial matters, ensuring a professional experience
- Provide financial insights and projections to foster school growth and planning
Qualifications & Skills 🎯
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field
- Minimum of 3+ years in finance, accounting, or business operations, preferably in education or nonprofit sectors
- Proficiency with QuickBooks, FACTS, and other financial management software
- Experience with payroll, budgeting, and financial reporting
- Exceptional attention to detail, organization, and time management skills
- Strong interpersonal and communication abilities for collaboration with diverse stakeholders
- Strategic financial data analysis and recommendation skills
- Knowledge of compliance requirements for educational and nonprofit organizations
Additional Details
This is an on-site position based in the Clairemont Mesa / Kearny Mesa area. The estimated annual salary range is $65,000 to $75,000, commensurate with experience and qualifications.
