Patient Interpreter & Administrative Support Coordinator

🩺 Major Function

Serves as the primary contact point between patients, clients, and health center staff, providing both interpretation services and administrative clerical support to facilitate smooth clinical operations aligned with the health center’s philosophy.

🔑 Essential Functions

  • Interpretation Services: Translate for non-English speaking patients requiring Spanish interpretation, including medical visits, medical histories, family history, care instructions, and medication information.
  • Patient Engagement: Greet patients, clients, and customers via phone or in person in a culturally sensitive, professional manner, demonstrating genuine concern for their needs.
  • Documentation & Records: Efficiently process all patient and business documentation, ensuring confidentiality and accuracy in medical records and related materials.
  • Referrals & Clinical Communication: Complete referral documents, pre-certifications, and ensure timely sharing of clinical information with specialists, following referral guidelines.
  • Chart Management: Verify and update patient files, prepare charts for visits, and assist with daily chart checklists.
  • Team Collaboration & Patient Flow: Work effectively with clinical and non-clinical staff to facilitate efficient patient flow and contribute to a positive workplace environment.
  • Clerical Support: Handle administrative tasks such as filing, scheduling appointments, managing prescriptions, retrieving faxes, and general office duties.
  • Electronic Medical Records (EMR): Enter information, scan documents, and organize reports within the EMR system according to established protocols.
  • Clinical Projects & Population Management: Support departmental initiatives, utilize various templates and tools, and contribute to projects aimed at improving patient outcomes.
  • Scheduling & Follow-up: Manage appointment scheduling, verify insurance, confirm patient documents, and follow up with no-shows or reschedules.
  • Continuous Improvement & Education: Stay informed about current trends, participate in staff training, and share knowledge with colleagues.
  • Flexibility & Coverage: Provide staffing coverage across all units and satellite health centers as needed.
  • Procedural Compliance: Follow check-in/out protocols and standard operating procedures (SOPs).

🔧 Additional Responsibilities

  • Monitor supplies and submit requisitions as necessary.
  • Assist staff with Spanish interpretation if bilingual.
  • Participate in mandated training programs.
  • Perform other duties as assigned by the Nurse Care Manager, including adapting to changing responsibilities.

🎓 Requirements

Education & Experience

  • High school diploma or GED required
  • Minimum of one (1) year related experience and/or training, or equivalent combination of education and experience
  • Complete further medical interpretation and terminology training as identified by the facility

Licensure & Certifications

None required

🧠 Knowledge, Skills, Abilities & Other (KSAOs)

  • Bilingual: Fluent in English and Spanish; proficiency testing within 30 days if bilingual
  • Communication: Ability to read, write, and effectively present information to individuals and groups
  • Technical Skills: Proficient with office equipment and software such as Microsoft Word, Excel, and PowerPoint; willing to learn new programs
  • Computer Literacy: Capable of working with electronic health records and business software applications
  • Interpersonal Skills: Cooperative, courteous, and able to assist the public effectively
  • Confidentiality: Maintains patient and client confidentiality at all times

🖥️ Physical & Work Requirements

This role requires manual dexterity for operating phones, computers, and office equipment. Must be able to kneel, bend, and lift light loads. Clear speech, hearing, and vision are essential for effective communication and task execution.
