About The Role 📝

Under the guidance of the Manager, Operations, the Team Lead, Public Records will oversee workload assignment and project management for fulfillment team units. You will look for opportunities to enhance the quality and speed of public records processes/workflows while ensuring compliance with FA policies and standards. Developing and implementing process improvements aligned with executive goals will be a key focus, alongside tracking daily accountabilities and KPIs.

This role calls for a candidate with moderate operational expertise, a customer-first mindset, and a passion for delivering high-quality service in every interaction.

Essential Duties & Responsibilities 📋

  • Day-to-day production: Manage performance targets; guide team members toward achieving business and individual goals.
  • Personnel management: Lead the fulfillment unit; foster employee engagement; forecast volume and staffing needs.
  • Client Relationship Management: Conduct performance meetings; support leadership in managing internal/external client relationships; prepare update reports as needed.
  • Training & Development: Deliver training programs to ensure team members are equipped for success in their roles.

Requirements 🎯

  • Language Skills: Bilingual in Spanish & English (verbal and written)
  • Education: High School diploma or equivalent required; associate’s or bachelor’s degree preferred.
  • Experience: Minimum 3 years in operations and/or public records or similar; strong organizational and presentation skills.

Additional Knowledge, Skills, & Certifications ⭐

  • Basic understanding of operations workflow management
  • Excellent communication skills (presentations, written, verbal)
  • Experience with business data analysis
  • Proficiency in MS Office Suite, especially Excel and PowerPoint
  • Attention to detail and sound decision-making abilities
  • Results-oriented, dependable, and customer-focused
  • Mentoring skills and adaptability to a fast-paced environment
  • Capacity to handle multiple priorities and tight deadlines

Physical & Supervisory Requirements 🏋️‍♂️

Physical Requirements

This position is primarily sedentary, involving long sitting periods, computer work, data review, lifting up to 20 pounds, and occasional walking or standing.

Supervisory Responsibilities

The role involves managing 3 to 10 direct reports, including performance management, coaching, training, and handling team issues, all under the oversight of the Manager, Operations.

This role operates in a fully remote setting, utilizing standard office equipment such as computers, phones, scanners, and printers.
