Job Description

Position Overview 📋

The Bilingual Office Assistant (OA) plays a vital role in supporting the efficient operation of the school. Key responsibilities include creating a safe, clean, welcoming environment and providing essential support to staff, students, families, volunteers, and visitors. The OA acts as a primary Spanish language communication lead for interactions with our Spanish-speaking families. This position serves at our KIPP Bloom Campus (5515 S Lowe) and reports to the School Operation Leader.

Hours 🕒

  • Full Time, 40 hours per week, Monday - Friday
  • No earlier than 7:00am and no later than 5:30pm
  • Exact hours to be determined by manager

Responsibilities 🎯

Manage Student Information System and Records 📁

  • Maintain accurate, up-to-date student records.
  • Create folders for new students and archive folders for former students.
  • Utilize Powerschool, DeansList, & Aspen data systems daily.
  • Prepare materials for parent-teacher conferences, including report cards, attendance letters, and paycheck histories.

Assist with Daily School Operations 🏫

  • Communicate effectively in both Spanish and English with students and families.
  • Translate weekly newsletters and family communications into Spanish.
  • Respond to inquiries from parents, students, and visitors.
  • Implement family communication systems (newsletters, mailings, flyers).
  • Check voicemails & emails from parents.
  • Manage inventory of supplies and uniforms.
  • Support teachers' requests and uniform sales.
  • Perform first aid and provide medical support as needed.
  • Ensure teachers’ lounges are stocked with supplies.
  • Assist with student arrival and dismissal processes.
  • Perform other duties as assigned by the Operations Leader.

Student Enrollment 🌱

  • Support the enrollment process: collecting Interest Forms, sending acceptance letters, managing waitlists, coordinating open houses, and registering students.
  • Schedule Commitment to Excellence conversations with parents and teachers.
  • Enroll students in Aspen, creating CPS student IDs, and coordinating transfers from other schools.
  • Participate in outreach activities such as community events, park visits, and door-to-door canvassing during spring & summer months.

Student Attendance 📋

  • Make daily calls to families of absent students and log attendance in DeansList.
  • Record attendance details such as tardies, suspensions, and hospitalizations.
  • Assist in implementing attendance incentives across classrooms and grades.
  • Communicate with families regarding significant absences and schedule follow-up meetings.

Qualifications & Requirements ✅

  • Fluent in both Spanish and English (oral and written)
  • High School Diploma with at least one year of school-based office experience or two years of college
  • Experience working in non-profit or educational settings
  • Excellent verbal and written communication skills
  • Demonstrated integrity and discretion with sensitive information
  • Proficiency with Google Suite tools
  • Clear CPS Background Check required prior to employment
